Student Support Administrator

Pay: £8,386 - £8,667 per annum (dependent on experience and qualifications)
Hours:
14 hours per week, 40 weeks per year

- Administer and maintain student records and required data systems, ensuring accurate recording of support services and associated costs.
- Provide administrative support to meetings chaired by the Specialist Learning Support Lead.
- Act as the primary point of contact for enquiries from parents, staff, and external stakeholders.
- Coordinate information recorded on Unit‑e with the College’s MIS team to ensure timely, accurate ILR data.
- Coordinate examination access arrangements, allocate associated costs, and inform relevant parties.
- Work closely with the SLS Lead to arrange specialist assessments (e.g., Educational Psychologists, Speech & Language Therapists, Integrated Specialist Support Services).
- Produce accurate invoices for agencies providing support (e.g., Local Authorities, Training Providers, Specialist Services).
- Complete administrative tasks related to budgets, purchase orders, and invoice requests.
- Request and record SEN information from High Schools in the College database.
- Support the organisation of transition visits for prospective learners.
- Retrieve and prepare accurate management information reports using College databases.
- Coordinate the organisation of phase transfer documents and request EHCPs from local authorities.
- Support and participate in the annual self‑assessment review and reporting process for Specialist Learning Support services.
- Arrange meetings, produce agendas, take minutes, and provide minutes or notes as required.
- Manage and respond to communications within Specialist Learning Support inboxes.
- Assist in organising Learning Support Assistant duties within the SLS Team and monitor progress towards staff task deadlines.
- Undertake other duties commensurate with the grade and purpose of the post.
- Excellent administrative skills with the ability to prioritise tasks.
- Strong written and verbal communication skills.
- Self‑motivated, autonomous, and able to work independently.
- Knowledge of learners with special educational needs (SEN) and experience with EHCP and EFA funding streams.
- Experience with data systems, student records, and reporting (ILR, Unit‑e).
- Ability to build professional relationships with parents, staff, and external stakeholders.
- Good organisational skills and attention to detail.
- Willingness to travel across campuses and work at various locations.
- English language proficiency and, where required, basic maths skills.
