Position: Senior CRM Assistant (12m FTC)

We have an exciting opportunity for a Senior CRM Assistant to join the Marketing team, based in the A&O Shearman Belfast office.

The Digital and Marketing Technology team implements and manages the firm's integrated marketing information systems and digital marketing communications channels. The digital channels include our public and client websites, email marketing, content libraries, and blogs. The team is responsible for the technologies that support core BD and marketing processes, including but not limited to experience collection, contact management, pitching and opportunity management, CV management, events, client segmentation and marketing analytics.

These two broad areas of marketing technology activity support each other and overlap, helping to provide a 360° view of our interactions with a client. The team is based in London, Belfast, New York, Munich and Sydney and is part of the global marketing, business development and communications function.

What you will do

The senior assistant for marketing technology is a member of the Digital and Marketing Technology support team operating from the firm's Shared Services Centre in Belfast. The role of the senior assistant is to complete business as usual tasks sent to the team from internal stakeholders and regular tasks carried out to maintain our systems. The senior marketing technology assistant supports internal stakeholders by acting as a 'go-to' across our marketing technology platforms.

The working hours for this role are one week of 7:00am - 3:30pm UK time, one week of 10:30am - 7:00pm UK time and two weeks of 9:00am - 5:30pm UK time.

We also require the senior digital assistant to step into workflow responsibilities when the primary workflow coordinators are not available.

Responsibilities
  • The job holder will support on the BAU, acting as a link between the digital and marketing technology function and:
    • the needs of the business, primarily the BD/marketing function, lawyers and PAs
    • internal IT stakeholders
    • other support functions such as HR, Finance and Business Services
  • Being an advocate for the new MS Dynamics CRM, ensuring best practice use and the latest guidance is shared and understood.
  • Being a point of contact for our marketing technology systems (Dynamics CRM, EPiC, Vuture, Sitecore, AOhub) and providing best practice advice and guidance to users.
  • With other senior assistants, ensure regular tasks and priorities are carried out across Sitecore, Dynamics CRM, Vuture, etc. With mailboxes monitored and actioned in a timely manner.
  • Providing ad-hoc training to users of our marketing technology systems, as and when needed.
  • Supporting on the creation of process documents and guides.
  • Assisting on ad-hoc projects, providing updates to management on a regular basis.
  • Troubleshooting issues across our marketing technology systems and liaising with senior members of the team or external system providers, as and when needed.
  • Supporting any system upgrades and enhancements to our platforms are correctly tested and implemented.
  • Supporting on the distribution of firm-wide email campaigns, including producing analytics reports and giving advice on how to improve campaigns in the future.
  • Acting as a data steward for the firm's contact management platform, managing collateral, standard text, etc.
  • Performing administration duties across workflow platform (monitoring of contact inboxes, answering calls, updating trackers).
  • Providing cover for the workflow coordinators when required.
  • Liaising with and supporting internal stakeholders, managing expectations in line with service agreements and A&O Shearman's strategic objectives.
  • Performing any other tasks and duties as may be required, commensurate with the level of the post.
What you will have
  • Strong experience of working with data and a good understanding of how information systems and processes work.
  • Strong experience of data handling with an attention for detail.
  • Excellent knowledge of Excel, and a good working knowledge of Word and Outlook.
  • Very high attention to detail and ability to quality check own work.
  • Experience with Power

    BI and other Power apps is desirable.
