The Role
* Managing the day-to-day operations and smooth running of the Belfast office
* Tracking incoming leads and ensuring they are followed up promptly and effectively
* Monitoring staff performance against agreed KPIs and business targets
* Supporting the team to achieve sales, lettings, revenue, and customer service objectives
* Producing and reviewing performance reports to identify trends, opportunities, and areas for improvement
* Ensuring staff are meeting required activity levels and maintaining high standards of customer service
* Managing workflows and allocating tasks to ensure business priorities are met
* Supporting the implementation of processes and procedures to improve operational efficiency
* Identifying opportunities to increase lead conversion, business development, and overall office performance
* Supporting recruitment, onboarding, training, and ongoing development of office staff where required
* Holding regular team meetings and performance discussions
* Managing office resources, facilities, and general administration
* Dealing with escalated customer queries and resolving issues professionally and efficiently
* Liaising with senior management to ensure operational activity is aligned with wider business needs
* Ensuring the office operates in line with company policies, procedures, and regulatory requirements
* Maintaining accurate records and ensuring all systems are kept fully up to date
The Person
* Previous experience in an Office Manager, Operations Manager, or similar senior operational role is essential
* Experience with in the property or estate agency sector would be advantageous, but is not essential
* Strong commercial awareness with an understanding of KPIs, targets, lead management, and overall business performance
* Proven experience managing or overseeing teams, with the confidence to motivate staff and hold individuals accountable for performance
* Excellent organisational skills with the ability to manage competing priorities and respond effectively to changing business needs
* Strong analytical and reporting skills, with the ability to monitor performance, identify trends, and implement improvements
* Excellent written and verbal communication skills, with the confidence to communicate effectively at all levels
* Strong customer service skills with the ability to manage escalated queries and resolve issues professionally
* Proficient in Microsoft Office and comfortable working with CRM and business management systems
* Proactive, commercially minded, and solutions-focused, with the ability to use initiative and make sound business decisions
* Strong leadership skills with the ability to influence, support, and develop colleagues
* A professional and positive approach with the ability to build strong working relationships across the business
