Location: Town of Belgium
Description:
- Coordinate interactions with internal and external stakeholders related to high-level engagements and events.
- Follow up on incoming invitations and ensure internal coordination to provide timely and appropriate responses.
- Maintain and update the High-Level Engagement Plan and related reporting tools (weekly follow-up).
- Manage and update SharePoint spaces and other document management systems (agendas, briefing notes, presentations, internal notes).
- Manage the central mailbox: triage requests, assign them to the relevant teams, provide standardized responses, and follow up on actions.
- Work closely with department heads and support teams to ensure optimal alignment.
- Provide general administrative support and handle a variety of operational tasks depending on priorities and ongoing projects.
- Bachelor's degree or equivalent through experience.
- Minimum 1 year of professional experience (2 years preferred) in an administrative, coordination, or support role.
- Strong ability to manage multiple tasks and priorities in a fast-paced environment.
- Fast learner, able to adapt quickly to new tools, processes, and responsibilities.
- Proactive, hands-on, and solution-oriented mindset.
- Comfortable working with digital tools and collaborative systems.
- Strong proficiency in Microsoft Office / Office 365, Teams, and SharePoint.
- Excellent written and verbal communication skills in English; good knowledge of French or Dutch is an asset.
