Summer Rentals and Bookings Student
Reporting to the Rental and Bookings Supervisor, this temporary full‑time position (May 12 – Aug 29, 2026) assists with rentals, special event bookings, and clerical support. Closing Date:
Friday, January 2, 2026 at 4:30 PM.
- Provide positive and professional customer service for internal and external customers.
- Assist with intake of facility request forms for rentals and events and track metrics.
- Respond to inquiries from user groups and individuals to book sports, leisure and recreation activities within the City of Belleville.
- Create seasonal and daily contracts/permits using established formats for ice, meeting rooms, parks, community centres, sports facilities, and events.
- Manage the special event process, including contacting event organizers and obtaining paperwork.
- Collect insurance and documentation for facility rentals, including special events.
- Collect, research and analyze data, including updating municipal comparator data.
- Provide clerical support to the rentals office and other sections within the department when required.
- Prepare brochures and marketing materials for facility rentals and special events.
- Coordinate client follow‑ups in collaboration with Accounts Receivable.
- Take notes during meetings and site visits (indoor and outdoor) with community user groups, customers, businesses, promoters and City staff.
- High School Graduation Diploma.
- Enrolled in a two‑year college diploma in recreation, sport management, tourism, business, public relations or equivalent.
- Successful Criminal Record Check ("CRC") and Vulnerable Sector Screening prior to commencing work.
- Valid Driver’s License class "G" and maintained driver’s abstract.
- Proficient use of computers with advanced skills in word processing and spreadsheet software (Excel, Internet, Word, integrated financial programs, recreation programs, website, etc.).
- Valid Standard First Aid and C.P.R. "C" Certification or willingness to obtain.
- Experience with recreation software (Xplor Recreation) or booking programs.
- Project or event management experience.
- Experience working in a municipal recreation setting.
- Experience with marketing and use of Canva, Adobe InDesign or related software.
- Excellent communication skills, both oral and written.
- Ability to work in a fast‑paced environment and balance a workload with regular changing priorities.
- Strong public relations, coordination and customer service skills.
- Awareness of City programs and strong public relation skills.
