Role

Description:

In this integral role, as the Licensing Coordinator to our CEO, you will be provided great opportunity to learn every aspect of the licensing business. You will work side‑by‑side with our CEO, managing his calendar, day‑to‑day operations, scheduling meetings, preparing travel itineraries, communicating with clients and staff, coordinating the company’s participation in the annual Licensing Show, assisting with marketing duties, taking on special projects and more.

We seek a true EA/Coordinator who is professional, thrives in a creative, fast‑paced environment, takes initiative and enjoys supporting people. You will be the go‑to person for all things CEO‑related, helping to foster a collaborative and supportive environment.

Key Responsibilities:
  • Manage complex calendars, including scheduling internal and external meetings, coordinating professional and personal travel arrangements.
  • Handle internal and external requests for time, utilizing strong judgment in prioritization and flexibility to meet scheduling changes and shifting priorities.
  • Serve as the central point of contact between the CEO and internal/external connections, ensuring smooth communication and collaboration.
  • Anticipate needs, problem‑solve for challenges, and manage emerging issues in a proactive manner.
  • Assist in preparing presentations, reports, and documents, as needed.
  • Manage and execute special projects from initiation to completion.
  • Coordinate company events, conferences, and internal/external meetings, promoting a concierge-level experience.
  • Screen and prioritize the CEO’s emails, calls, and other communications, ensuring timely responses and efficient workflow.
  • Conduct research on industry trends, competitors, and potential opportunities to support the CEO’s decision‑making.
  • Maintain confidentiality and handle sensitive information with professionalism and absolute discretion.
  • Collaborate with the broader team to ensure that all projects and initiatives are aligned.
  • Special projects for the CEO.
Qualifications:
  • Proven experience as an Executive Assistant or similar role, preferably within the licensing, entertainment, marketing, or creative industries.
  • BA/BS from an accredited 4‑year University or College preferred.
  • Strong organizational and multitasking skills, with an ability to prioritize in a fast‑paced environment.
  • Excellent written and verbal communication skills, with attention to detail.
  • Proficiency in Microsoft Office Suite.
  • Proficiency in Salesforce or Teams preferred.
  • A proactive, solutions‑oriented mindset with a passion for supporting.
  • A commitment to calm and kind collaboration.
  • Ability to adapt to evolving needs and manage multiple priorities with flexibility.
