JOB RESPONSIBILITIES
* Greet residents, families, and guests; answer phones, take messages, and direct inquiries; manage incoming/outgoing mail.
* Provide information, assist with forms, and address concerns with empathy.
* Maintain filing systems, manage databases, prepare documents, and perform general office duties.
* Assist the Executive Director, department managers and line staff, help with daily front office maintenance, and help with new resident move-in coordination, as needed.
* Assist the Business Office Manager with training and mentoring the Receptionists.
* Manage office calendars and schedule appointments as needed.
* Assist with preparing for new hire orientation.
* Act as a point of contact to address inquiries or concerns from residents and families, fostering positive relationships and promoting resident rights and dignity.
* Assist with bookkeeping tasks, such as processing invoices, managing records, rent collections, bank deposits, and cash handling, as well as supporting the Business Office Manager.
* Uphold strict confidentiality for resident,family and staff information in accordance with privacy policies and applicable regulations.
* Maintain a neat, orderly and organized front desk/lobby.
* Respond and assist with any resident, staff,guest, or community emergency.
* Assist with special events as needed.
* Maintain a professional appearance as described in the uniform policy.
* Report any unusual incidents to the Director of Nursing, Executive Director and LN on Duty.
* Report to the Director of Nursing regarding resident intermittent nursing services needs/changes in accordance with policies and procedures.
* Maintain a professional caring approach when dealing with residents, families, staff, visitors, vendors, and the general public.
* Any other duties as required by the Business Office Manager, Executive Director, or Director of Nursing.
Requirements
* A high school diploma or GED is required, Associates-Degree preferred, with 2 or more years of experience in an administrative, healthcare, or senior living setting.
* Excellent written and verbal communication skills.
* Strong time management, multitasking, and organizational skills.
* Competency with computer systems and software, especially Microsoft Office programs (Word, Excel, Outlook, Power Point), and the ability to learn new systems.
* Possess public relations capabilities and experience.
* Customer service skills, including phone etiquette.
* Strong attention to detail.
* Ability to proof read
* Healthy appearance and outgoing personality
Ability to read, write and speak English clearly
* Dependable
