About the Department

The Office of Research and Sponsored Programs (RSP) serves Western Washington University's research, scholarly, and creative communities by assisting with proposal development, submission and administration; supports compliance with applicable Federal, State, and University regulations; serves as the primary point of contact with extramural research sponsors; and provides leadership in supporting and advancing research, scholarly, and creative activities at Western Washington University.

About The Position

The Grant and Contract Coordinator works under general direction to negotiate with funding agencies to establish terms and conditions of grant and contract awards, conduct preliminary institution-wide review of proposals, and provide technical advise regarding alternative formats, sources of funding, and agency policies to faculty investigators and administrators involved in proposal preparation. This position is within RSP’s pre-award group and reports to the RSP Director.

It works closely with post-award and compliance staff, other campus units including Contracts, Student Employment, and the Graduate School, as well as faculty and students. The position requires the ability to learn quickly and keep up to date on changing regulations and processes, manage complex, changing priorities and workflows, and work collaboratively with colleagues, students and staff from a range of disciplines and backgrounds.

The Grant and Contract Specialist is primarily responsible for working collaboratively in teams to develop projects and proposals that support the mission and goals of Western Washington University including: identifying funding opportunities; developing and submitting public and private grant proposals; developing and maintaining accurate records; assisting the RSP team with the development and implementation of internal operating procedures, policies, guidelines, and system improvements;

supporting the intramural grant program; and assisting in the development and provision of training for prospective and current PIs.

Required Qualifications
  • Bachelor's Degree or equivalent education and experience
  • Two years of experience in grants administration
  • Demonstrated commitment to work effectively with a diverse group of students, faculty, staff and external partners
  • Documented success in developing federal grant proposals as part of a team
  • Experience in project or program development and budgeting
  • Excellent skills in written and verbal communication, customer service, relationship building, project management, research and analysis, tact and diplomacy
  • Strong computer skills and experience with spreadsheets and electronic grant tracking applications
  • Excellent time management and organizational skills
  • Ability to complete complex assignments with strict attention to detail
