About the Position

The Event Services Manager is responsible for the management of services that support the logistics and production of events at the Viking Union and large-scale university events across the campus, and for oversight of reservation processes for the Viking Union Lakewood and exterior spaces.

Responsibilities
  • Direct operations of Event Services including Audio/Visual, Reservations, and Event Staff services.
  • Develop procedures and standards for space reservation and service utilization.
  • Review quality of Facilities and equipment.
  • Consult with clients on event logistics and supervise delivery of services.
  • Schedule staff for setup and takedown, capacity monitoring, ticketing and crowd management.
  • Generate estimates and issue service agreements.
  • Lead reconciliation of charges, invoice clients, and manage billing.
  • Support university’s preparation for freedom of expression and other unplanned activities.
  • Order services and submit work orders on behalf of Student Involvement Organizations.
  • Develop and recommend fee structures and rates.
  • Establish annual goals and evaluate service delivery quality.
Oversight of Reservation Desk Operations (15%)
  • Supervise staff in processing reservation requests and approving space use.
  • Ensure proper procedures for key assignment and equipment checkout; refer access control issues to Area Access Manager.
  • Delegate and review billing for space and equipment use.
Oversight of Audio/Visual Technical Operations (15%)
  • Supervise staff delivering professional Audio and Visual support services.
  • Review weekly schedule and verify staffing.
  • Delegate and review billing of Audio/Visual Services.
Supervision of Event Services Staff (10%)
  • Provide general supervision to staff and second‑line supervision of student employees.
  • Approve leave, vacations, and overtime.
  • Prioritize work assignments and schedule staff.
  • Participate in training on inclusion, diversity, and related topics.
  • Develop training on event setup, crowd management, sound, and ADA standards.
  • Evaluate employees and recommend professional development.
  • Conduct hiring and lead full‑time and temporary staff hiring.
Software and Technology (5%)
  • Use event management software to track reservations, record event details, and produce reports.
  • Generate custom reports and refine workflow.
  • Use specialized software for floor plans and diagrams.
  • Demonstrate competency in Microsoft Office products.
  • Act as software administrator for campus departments.
Fiscal Management (5%)
  • Act as Budget Authority for expenses and purchases.
  • Supervise and plan cyclic purchase of equipment.
  • Monitor transactions to ensure budget compliance.
  • Issue invoices to on‑campus and off‑campus users.
  • Develop and recommend service fees and rate adjustments.
  • Interpret policy and fee structures for appropriate charges.
Required Qualifications
  • Bachelor’s Degree or equivalent combination of education and experience.
  • 2 years of event planning, production, or venue management experience.
  • Experience working effectively in diverse and inclusive environments.
  • Proficiency with Microsoft Office products.
  • Experience supervising employees with hiring, training, and evaluation responsibilities.
  • Strong interpersonal and communication skills.
