Walman Optical (a global division of Essilor Luxottica) is seeking a full‑time Customer Service Coordinator to support optical order entry and customer relationships in Bemidji, MN.

The Customer Service Coordinator is responsible for building and maintaining customer and vendor relationships, managing request for quotations, stock orders, returns, purchase orders, and coordinating with other departments to provide the best possible service.
Major Duties and Responsibilities- Fully coordinate the ordering, assembly, packaging, premium inclusion, and marking of frames for the monthly auto‑kit mailings for our divisions.
- Maintain the customer lists of accounts participating in auto‑ship mailings.
- Receive requests for price quotations, orders, order changes, adjustments, and cancellations directly from customers and labs.
- Retrieve and update customer information, stock status, and order status using a PC; ensure correct code usage and accurate product filing.
- Use Microsoft Office to create spreadsheets, write memos, and communicate with customers and other branches via e‑mail.
- Provide troubleshooting assistance for co‑workers and customers.
- Cross‑train in all areas of the department and fill in for colleagues when necessary.
- Write and update department documentation for new programs and responsibilities.
- Sort and deliver mail to inter‑department personnel on a rotating basis; manage mid‑day departmental computer backup.
- Communicate company policies, promotions, and contracts diplomatically.
- Maintain a clean, organized work area and adhere to all company and manufacturer policies, safety rules, and HIPAA confidentiality requirements.
- Assist coworkers to meet deadlines, maintain workload, and provide training and technical guidance as needed.
- Perform other duties as assigned.
- High school diploma, GED, or equivalent experience.
- 3+ years of experience in customer service, hospitality, or a call center environment.
- Excellent telephone etiquette and composure with difficult customers.
- Strong clerical and computer skills supporting lab operations, sales, and marketing.
- Strong verbal and written communication skills.
- Good organization, attention to detail, and numerical accuracy.
- Proficient PC skills with MS Office, Outlook, Word, and Excel.
- Ability to lift/move up to 40 pounds.
- Optical knowledge will be considered a preferred qualification.
Pay Range: $15.00 - 24.37 (USD) per hour. Additional bonus and/or commission may be offered.
