The Bookkeeper plays a crucial role in maintaining accurate and timely financial records for TTF and is responsible for processing cash and credit card transactions, reconciling accounts, managing invoices and payments and overseeing the accuracy of accounts payable, accounts receivable and various expense accounts. The Bookkeeper ensures compliance with financial policies and contributes to the creation of budgets as needed.
Transactions- Process cash and credit card deposits, including ticket sales, memberships, concessions and donations.
- Provide reports on cash, credit card and ACH revenues upon request.
- Reconcile and close rental shows upon completion.
- Review and reconcile expense accounts monthly.
- Enter vendor invoices and performance invoices.
- Issue invoices or credits to clients after show reconciliation.
- Issue invoices for contributed income contracts (sponsor ships and grants).
- Accurately pay all bills in a timely manner.
- Pay accounts payable after reviewing for accuracy.
- Pay expense accounts after reviewing for accuracy.
- Accounts Payable: W9 collection, Tax , reporting on outstanding balances and processing documentation.
- Accounts Receivable:
Reviewing A/R for accuracy, contacting customers for late payments, monthly reporting on non-current balances and processing documentation. - Expense accounts.
- Performance Contracts payments.
- Assist in creating budgets (as needed).
- Assist with annual audit (as needed).
- Order supplies (as needed).
- Occasional tasks outside your normal scope of duties may be required from time-to-time as coverage for other teammates.
- Effective communication and collaboration skills
- Excellent organizational skills with meticulous attention to detail
- Ability to quickly learn and adapt to new software
- Associate’s degree in Accounting or a related field is preferred
- Proven experience as a bookkeeper or in a similar financial role
- Working knowledge of accounting software, Quick Books Desktop proficiency is highly desired
- Working knowledge of MS Office Suite including Excel
- Proficient in operating office equipment, including external printers and copy machines
- Solid understanding of financial transactions, reconciliation processes and financial reporting
- Ability to identify and address financial issues, solving problems efficiently
- Ability to provide reports and communicate financial information to stakeholders upon request
- Ability to adapt to changing priorities and work in a dynamic environment
- High ethical standards and commitment to maintaining financial confidentiality
- Familiarity with payroll process
- Experience in budget creation
- Indoor setting in an office
- Occasional exposure to loud noise
- 95% sitting and 5% standing
- Strong hand-eye coordination to execute tasks effectively
- Ability to climb stairs daily
- Ability to lift up to 30 pounds rarely
