General Description:

The Office Assistant – District Receptionist serves as the primary point of contact for visitors, parents, staff, and community members entering the Administration Building. This position provides essential front‑office and administrative support and is responsible for coordinating all district background checks and license renewals for Bentonville Schools. The role requires professionalism, discretion, strong organizational skills, and a commitment to customer service.

Essential Duties And Responsibilities:

  • Serve as the first point of contact for the Administration Building by greeting visitors, answering incoming telephone calls and emails, directing inquiries appropriately, and taking accurate messages.
  • Maintain strict confidentiality of all student, staff, and district information.
  • Complete and manage all state and federal background checks and child maltreatment documentation for the district.
  • Process incoming payments in accordance with district procedures.
  • Assist new hires with computer access, district email setup, and employee identification badge photographs.
  • Coordinate with vendors for department requirements.
  • Maintain meeting room schedules and update electronic displays daily.
  • Receive, sort, and distribute mail, packages, and deliveries.
  • Ensure the reception area is clean, organized, and welcoming; maintain current and accurate noticeboards.
  • Provide administrative and clerical support using Microsoft Office, Google Workspace, and district database systems (training provided).
  • Perform general clerical duties and provide office support to supervisors and coworkers as assigned.
  • Participate in cross‑training opportunities and provide support to other Human Resources positions as needed.
  • Perform other related duties as assigned.

Education And Experience:

  • High school diploma or equivalent required.
  • Specialized training and/or on‑the‑job experience in clerical, administrative support, data processing, or office equipment operation preferred.
  • A minimum of 12–18 months of related experience and/or training required.
  • An equivalent combination of education and experience may be accepted in lieu of formal training.

Communication

Skills:

  • Ability to communicate clearly, professionally, and courteously in person, by telephone, email, and in small group settings with staff, parents, visitors, and the general public.
  • Demonstrated ability to represent the district in a welcoming, professional, and service‑oriented manner.
  • Strong organizational skills, ability to multitask, work flexibly, and maintain a positive, solution‑oriented (“can‑do”) approach in a fast‑paced environment.

Use of Machines, Equipment, and/or Computers:

  • Regular use of office equipment including desktop/laptop computers, printers, copiers, fax machines, shredders, and multi‑line phone systems.
  • Basic troubleshooting of digital projection and computer connections in training or meeting rooms may be required.

Software

Skills Required:

  • Proficiency in Microsoft Office Suite and/or Google Workspace (Gmail, Drive, Docs, Sheets, Slides) required.
  • Familiarity with district and state education systems, or other student information or management systems, is preferred, but not required.

Physical Requirements:

  • Regularly required to sit, use hands and fingers, talk, and hear.
  • Occasionally required to stand, walk, reach with hands and arms.
  • Ability to lift and/or move up to 10 pounds occasionally.
  • Vision requirements include close vision and colour vision.

Work Environment:

  • The work environment is typical of an office setting.
  • Noise levels are generally moderate.
