Job Summary

We are seeking a reliable and efficient Medical Receptionist to join our healthcare team. The Medical Receptionist will be responsible for greeting patients, verifying their information, and scheduling appointments. In this role, you will also handle patient inquiries, collect payments, and maintain patient records. The ideal candidate for this position will have excellent organizational skills, strong attention to detail, and exceptional customer service skills.

Responsibilities
  • Live answer the phone throughout the day.
  • Assist patients as they check in for their appointments.
  • Maintains inventory and orders approved office supplies on a routine basis.
  • Screen, register, and schedule all new IVP patients for initial intakes.
  • Acquire authorizations for IVP treatments.
  • Prepare financial paperwork for IVP treatments.
  • IVP payment collections for patient co‑pays & payment plans
  • Schedule calibration, follow‑up visits, and IVP treatment series.
  • MT & 1st Treatment reminder calls and prepare first day packet for patient.
  • Send physician referral letters for all assigned IVP patients.
  • Closing treatment charts and entering outcomes.
  • Prepare and provide End of Treatment packet for patient.
  • Post‑treatment follow‑up calls to patients for up to two years.
Duties
  • Clock in and out to record work hours as required.
  • Check benefits & review finances with patients.
  • Initiate In Sync Patient Portal & registration paperwork.
  • Assure paperwork and demographics are complete.
  • Acquire medical records, as required.
  • Send intake confirmation emails to physician and patient.
  • Submit authorization appeals, as needed.
  • Assist with authorizations extensions and continuation.
  • Be able to learn and use new technologies and programs such as: EMR, insurance websites, phone system, credit card processing and other related programs.
  • Opening, processing, and distributing incoming mail.
  • Check and respond to voicemails, return phone calls to patients, doctors, and insurance/billing companies.
  • Prepare, distribute, and respond to all office correspondence.
  • Create and respond to emails from patients, doctors, and insurance/billing companies.
  • Scheduling appointments.
  • Print and post physician coverage information.
  • Ensure all doctor and admin calendars are posted and current.
  • Attending all staff and department meetings.
  • Attend employee training series sessions.
  • Meet with supervisor monthly for ongoing training/support.
  • Assist other staff as required including other divisions.
  • Keep the shared office areas clean of debris or messy paperwork.
  • Any and all other duties as assigned.
Qualifications
  • Ability to juggle multiple tasks and adjust to changing schedules and priorities and efficiently meet deadlines.
  • Able to work as a team player or independently and with or without direction.
  • Self‑motivated, detail‑oriented and organized.
  • Compassionate and professional with patients at all times.
  • Experience with telecommunication hardware and software.
  • Proficient in computer applications such as Outlook, Microsoft Office, and web browsers.
  • Excellent English communication (oral and written) - interpersonal, organizational, and presentation skills.
  • Typing proficiency.
  • Able to work with confidential material and maintain appropriate boundaries.
  • Effectively work with multiple managers.
  • Professional attitude and attire.
