We have an exciting opportunity to join our team as an Office Supervisor, FGP - Bethpage - Multispecialty. In this role, the successful candidate will work alongside the Practice Manager or Regional Leader to oversee the daily operations of practice staff and patient care. Responsibilities include communicating tasks, coordinating staff schedules, and promoting a positive patient experience while maintaining efficient operations.
Job Responsibilities- Ensure enforcement and adherence to FGP policies and procedures.
- Hire, onboard, train, and monitor staff.
- Supervise daily practice operations such as reception, phone handling, staffing, provider schedules, and workflows.
- Promote excellence in patient experience by reinforcing best practices and escalating issues as appropriate.
- Monitor supply inventory and medical equipment maintenance.
- Coordinate and participate in regular staff meetings and performance reviews.
- Act as a liaison between non-physician staff and physicians to ensure effective and efficient workflows and patient access.
- Communicate issues or roadblocks to the practice manager.
- Perform other duties as needed.
- Oversee staff and patient care functions of a Faculty Group Practice site.
- Resolve employee issues and address procedural and performance-related issues.
- Authorize attendance, schedules, and sick time changes; manage timekeeping and payroll for direct reports.
- Maintain effective relationships with group physicians as a service and resource person for quality patient care.
- Address provider concerns pertaining to day-to-day operations.
- Ensure suites are properly staffed to avoid delays.
- Promote cooperative relationships across job categories to facilitate timely responses to needs.
- Represent management team and set the tone at all times.
- Establish office procedures, communicate responsibilities, and train staff accordingly.
- Ensure staff are aware of all FGP forms and their proper usage.
- Oversee and facilitate required training for new hires and existing staff on workflows, policies, and procedures to maintain standardization across the FGP.
- Enforce adherence to NYULH and FGP policies, including HIPAA, Compliance, and Human Resources standards.
- Work with Practice Leadership to develop staffing standards, ongoing trainings, and performance metrics.
- Assist in implementation and oversight of key FGP operational initiatives such as MIPS, Check Mate, Patient Secure, and digital scheduling.
- Review operational dashboards and management reports to track performance and identify trends that need to be addressed.
- Identify additional staff training requirements and coordinate as needed.
- Monitor front-end processes including co-pay collection, insurance verification, authorization and referral, record release requests, and denials.
- Place MCIT tickets when front-desk hardware becomes non-functional.
- Serve as liaison with other NYULH Department Representatives.
- Perform other duties and projects as necessary.
- Optimize patient flow and patient access.
- Support key initiatives related to MIPS, gaps in care, and other clinical quality programs.
- Maintain clinical in-baskets and close open encounters in a timely manner.
- Work with Practice Leadership to enforce policies and procedures.
- Ensure clinical compliance with patient safety initiatives and reporting.
- Serve as NYU Langone Health Faculty Group Practice Brand Ambassador, upholding the NYULH Mission, vision, and values.
- Drive consistency in every patient and colleague encounter by embodying the core principles of our FGP Service Strategy CARES.
- Greet patients warmly and professionally, clearly communicating each step of the care/interaction.
- Collaborate with colleagues and site management to ensure a positive experience and timely resolution for all patient interactions and inquiries.
