Job SummaryFull‑time, 40‑hour Clinic/Practice Assistant that performs administrative and clinical functions to support smooth, efficient clinic operations.
Essential Functions- Make patient appointments and maintain appointment records.
- Greet and assist patients.
- Answer telephones, assist callers with routine inquiries, and schedule appointments.
- File materials in patient folders and print appointment schedules.
- Process patient billing forms and scan documents to patient medical records/LMR.
- Call for patient medical records and laboratory test results.
- Open and distribute unit mail or faxes.
- Type forms, records, schedules, memos, etc., as directed.
- Accept co‑payments if required.
- Handle, screen, and/or take messages related to prior authorizations, provider questions, prescription refills, and test results.
- Act as “Super User” for scheduling, registration, and billing systems, and provide assistance and training to others.
- Perform more complex or specialized functions (e.g., surgical scheduling, schedule changes/blocking) at an advanced competency level.
- High School Diploma or Equivalent.
- Certified Medical Administrative Assistant (CMAA) – Data Conversion or comparable certification preferred.
- 2–3 years of office experience.
- Proficiency with Microsoft Office Suite and office operations.
- Ability to use a phone system and manage routine and non‑routine calls.
- Strong written communication skills.
- Excellent time‑management and organizational skills.
- 2 years of experience in a community‑based medical practice.
- Epic experience preferred.
