Biddeford, ME (In-Person)
16–20 hours/week
$20/hour
About This RoleAs an Administrative Assistant at Tiny Triumphs, you'll play a crucial role in the daily operations of our clinic, ensuring smooth and efficient administrative support for our therapists and the families we serve. You'll be the first point of contact for patients, helping to create a welcoming and organized environment at our Biddeford clinic.
Key Responsibilities- Greet and assist patients and visitors in a friendly and professional manner
- Answer phone calls, respond to emails, and schedule therapy appointments
- Maintain patient records and files, ensuring confidentiality and HIPAA compliance
- Process patient billing and insurance information accurately
- Assist in the preparation and management of therapy materials and documentation
- Support therapists with administrative tasks, including scheduling and follow-ups
- Handle office supplies inventory and order as necessary
- Manage patient intake forms, ensuring all necessary documents are completed
- Coordinate with insurance providers for pre-authorizations and verifications
- Assist in maintaining a clean and organized office environment
- High school diploma or equivalent
- Previous experience in an administrative or healthcare setting preferred
- Strong organizational skills with attention to detail
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent written and verbal communication skills
- Ability to multitask and prioritize in a fast-paced environment
- Friendly, approachable, and professional demeanor
- Strong problem-solving and customer service skills
