Administrative Assistant III - Retirement Plan Services at First Interstate
Location:
Billings, MT Heights branch.
Provides support to the First Interstate Retirement Plan Services team. This individual will primarily assist Retirement Plan Specialists and Retirement Plan Advisors in the performance of their duties and servicing of their clients. They will also provide support and backup to other members of the Wealth Management team, as assigned. Position assumes administrative responsibility for projects that may be complex and/or involve bank-wide impact.
Requires initiative and judgment. Applies advanced skills for the position. Resolves most questions and problems and refers only the most complex issues to higher levels. Works under minimal supervision.
- Supports the account administration process as directed by the Supervisor.
- Clerical and organizational assistance for department correspondence, handling mail, scanning, and other administrative duties.
- Works in a team‑focused environment and balances priorities for team objectives, remaining flexible in a changing work environment.
- Organizes and coordinates department functions as requested.
- Greets and assists customers by telephone and virtual conferences in a professional and responsive manner, consistent with First Interstate’s Wealth Management standards and guidelines.
- Processes daily business including, but not limited to, distributions, deposits and documentation.
- Sets up new accounts, maintains and updates existing accounts.
- Maintains and inputs data systems as required in a high quality and timely manner.
- Designs, organizes, and maintains a central filing system for the department, including records management and retention tracking.
- Orders and maintains supplies; arranges for equipment maintenance.
- Works on continuing education and regulatory training.

Education and ExperienceHigh school diploma or GED and 3-5 years of administrative support experience preferred. Experience with in Brokerage, Trust or Finance preferred.
Other Skills & Abilities- Effective communication skills.
- Ability to work well with coworkers and prioritize workload while remaining adaptable under pressure.
- Computer skills essential; experience with Internet, MS Word & MS Excel required; additional applications preferred.
- Attention to detail required, especially in time‑sensitive and pressure situations.
- Professional, self‑driven, motivated, pleasant individual committed to ensuring clients come first.
- Ability to read, comprehend, and write simple correspondence and present information in one‑to‑one and small group settings.
- Basic mathematical skills: addition, subtraction, multiplication, division, rate, ratio, percent, and interpretation of bar graphs.
- Reasoning ability to apply common sense to carry out detailed written or oral instructions; handling problems with few concrete variables in standardized situations.
Regular sit, finger, handling or feel, talk or hear; frequent stand, walk, reach; lift and/or move up to 25 pounds. Specific vision abilities required: close vision. Work environment: usually low noise level.
