Schedule: Monday–Friday, 8:00 AM–5:00 PM, with a one-hour lunch
Compensation: $19–$20 per hour, depending on experience

Position Summary

A&I Distributors is seeking a dependable, detail-oriented National Accounts Representative to join our team in Billings, Montana.

This is an entry-level administrative position primarily responsible for receiving, entering, and processing orders from our national account partners, such as Shell, Valvoline, and other major suppliers.

Orders are received through vendor portals and entered into our internal ERP system. The National Accounts Representative ensures orders are processed accurately and communicated to the appropriate A&I branch for fulfillment and delivery.

Our company operates 11 branches throughout Oregon, Washington, Idaho, Montana, North Dakota, and South Dakota. This position works closely with these locations to ensure orders are received, processed, and completed in a timely manner.

This is not a sales position. There are no cold calls, sales quotas, or outside sales responsibilities.

We are looking for someone who enjoys working with computers, has strong organizational skills, pays attention to detail, and communicates well with others. Previous experience with national accounts or the oil distribution industry is not required. We are willing to train the right person.

Key Responsibilities

Order Entry & Processing

• Monitor national account vendor portals for incoming customer orders.
• Receive, review, and enter orders accurately into the company's ERP system.
• Route orders to the appropriate A&I branch for processing, shipping, and delivery.
• Verify order information, including products, quantities, delivery locations, and customer details.
• Track orders and follow up on missing or incomplete information.
• Maintain accurate electronic records of orders and transactions.

Branch Communication & Coordination

• Communicate regularly with our 11 branches regarding incoming orders and fulfillment.
• Follow up with branches on order status, shipping information, and delivery questions.
• Assist with resolving order discrepancies or missing information.
• Work with internal departments to ensure orders are processed correctly and on time.

Administrative & Account Support

• Review vendor portals for order updates, credits, and other account information.
• Assist with researching and reconciling order discrepancies, credits, and payments.
• Maintain and update Excel spreadsheets and other tracking documents.
• Assist with basic account reconciliation and documentation.
• Keep electronic files organized and accurate.
• Work with Accounts Payable, Credit, and other departments as needed.
• Perform other administrative duties as assigned.
• Cross-train in other administrative positions to provide backup support when needed.

Qualifications

Required Skills

• Previous data entry or general office experience preferred.
• Basic computer skills and familiarity with Microsoft Excel, Word, and Outlook.
• Ability to enter information accurately and efficiently.
• Strong attention to detail and organizational skills.
• Ability to manage multiple tasks and prioritize daily responsibilities.
• Good written and verbal communication skills.
