Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Rowland Door Services Limited (RDS) is seeking an Administrator to join our growing team based in Kings Norton, South Birmingham.
We deliver project work throughout the year for a number of national blue-chip clients. As a result, our projects vary in both scope and scale, offering a dynamic and fast-paced working environment.
The RoleThe Administrator will support the successful planning and delivery of projects, ensuring they are completed on time and within the company’s set budgets.
Working under the supervision and guidance of our existing Project Managers, the successful candidate will collaborate closely with Project Managers and internal teams to keep projects of varying size and complexity firmly on track.
You will liaise with multiple departments and stakeholders, monitor progress, and provide oversight to help ensure timely and cost-effective project delivery.
This role requires a self-motivated and proactive individual who can work on their own initiative within a busy environment. The successful candidate must be adaptable and capable of managing the day-to-day challenges that project work can present.
Key Responsibilities- Research information to support other teams and departments to ensure successful delivery of ongoing and upcoming projects
- Carry out administrative duties including preparing quotations, purchase orders, invoices, scheduling meetings, and planning works
- Liaise with clients regarding project updates and project-related issues
- Track and report on project progress, cascading updates both internally and externally
- Complete tasks assigned by the Project Managers efficiently and in a timely manner to support project delivery
- Perform additional duties as directed by the Project Managers in an orderly and efficient manner
- Work within a high-pressure environment where timescales and delivery are a priority
- Provide timely, effective, and professional planning to support project delivery
- Contribute to the effective running of the department
- Coordinate daily activities with project engineers, suppliers, contractors, and clients
- Raise and issue purchase orders
- Maintain and deliver project updates to frontline engineers and clients
- Ensure all deliverables and data analysis requirements are managed in line with project plans
- Support the planning and organisation of engineers’ day-to-day activities
- Proven experience as an Administrator or in a similar role would be advantageous
- Proficiency in Microsoft Office, G Suite
- Highly organised with the ability to manage multiple projects simultaneously
- Strong attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Relevant training and/or certifications in an administrative role would be advantageous
- Ability to work under pressure while delivering outstanding service and meeting tight deadlines
- Strong organisational and scheduling skills, with the ability to manage and prioritise your own workload
- Confident note-taking ability with impeccable attention to detail
