Job Summary

An exciting opportunity has arisen for a full‑time administrative assistant to join the team at our Physiotherapy and Podiatry Department at College Green, Northfield.

The role involves working on reception as part of the Therapy Services Team and dealing with all patients and visitors to the department. As a member of the Administrative Team you will carry out day‑to‑day administrative duties for the department, including dealing with calls and correspondence from patients, consultants, GPs and other health‑care providers. The position may also require working within the MSK Admin Team at the main Royal Orthopaedic Hospital site when needed.

It is a 37.5‑hour per week full‑time vacancy. Working hours are 07:15‑20:00 Monday‑Thursday and 09:00‑17:00 Friday, with occasional early and late shifts.

Main Duties
  • Work on reception as part of the Therapy Services Team and deal with all patients and visitors to the department.
  • Provide clerical support for the Therapy Services Department.
  • Maintain the electronic therapy database for the Therapy Services Department using TIARA.
  • Process podiatry orders using the hospital’s INTEGRA system.
  • Deal politely and efficiently with all face‑to‑face and telephone enquiries to the department.
  • Deal with distressed, emotional or difficult patients over the telephone and face‑to‑face in a calm and professional manner.
  • Receive and transmit confidential information in accordance with the Data Protection Act.
  • Provide administrative support for the Therapy Services and MSK Admin Departments.
  • Book patient appointments and classes, liaising with patients/carers.
  • Register referrals received in a timely manner.
  • Use the 18‑week tracker to identify referrals on an 18‑week pathway and prioritise as necessary.
  • As part of this role you may also be required to work within the MSK Admin Team at the main Royal Orthopaedic Hospital site when required.
Person Specification

Essential Qualifications and Training

  • English Language GCSE/Maths or equivalent.
  • Experience working in a busy team or environment.
  • IT and keyboard skills.

  • Previous experience in a healthcare setting.
