Core Purpose
The post holder is responsible for supporting the Trust’s Operations function, including operations, facilities, ICT and reception tasks, ensuring the effective operation of AUSEAT’s day-to-day operations. They may be required to work at any of the Trust’s buildings and will carry out a mixed portfolio of tasks across the Trust’s schools (currently Aston University Engineering Academy and Aston University Mathematics School).
The role requires efficient multi-tasking, proactivity and attention to detail with a customer-service approach and due regard to the Trust’s policies and procedures.
- Cover reception at 2 Lister Street for 2 hours per day.
- Providing reception cover at any of the Trust schools in the event of staff absence.
- Answer and respond to telephone enquiries.
- Triage and co-ordinate the AUSEAT Trust email inbox.
- Internal delivery of post and parcels.
- Project administration.
- Calendar Overview, arrange meetings, input appointments and schedule site visits.
- Photocopying / printing as required.
- Provide administrative support during meetings.
- Co-ordination of meetings and events, including set up, ICT support, catering support, clean down.
- Sickness and Annual Leave cover for operations and finance directorates.
- Raise requisitions and perform goods receipts for the Facilities and ICT teams.
- Collections and cash-and-carry/shop visits on behalf of the Trust.
- Set up and clear down of rooms, general portering, maintaining the estate.
- ICT support at peak times.
- Support the delivery of pupil welfare and first aid services (first aid training is provided) in line with school policy and procedures, particularly re use of the medical room in the reception area.
- Undertake any other school or administrative functions/roles within the trust commensurate with the level, grade and requirements of the post as requested by line management or other members of the Senior Leadership Team.
- Facilitate student transport through driving the school vehicles (desirable).
- Promoting and safeguarding the welfare of children and young people.
- Supporting and promoting the Trust ethos and contributing to the overall aims of the Trust.
- Being aware of and complying with policies and procedures relating to staff conduct, child protection, health and safety, security, confidentiality and data protection, including reporting any concerns to an appropriate person.
- Appreciating and supporting the role of other professionals.
- Attending and participating in relevant meetings as required.
- Participating in training and performance development as required.
