To provide efficient, effective, and high standard reception and switchboard service to patients, staff, and visitors to Zinnia CMHT. First point of contact for the building, dealing with queries from patient’s family and carers as well as other professional organisations involved with patient care. To provide a high level of professional and confidential coordination of the reception staff. The post holder will provide support to the receptionists.
To be able to interpret and act effectively in the situation where a client is becoming agitated to the point of endangering the staff or other clients and raise alarm without further inflaming the situation. To act as initial point of contact either by phone or face to face when dealing with patients suffering with Mental Health related problems, using tact and diplomacy as required to ascertain the nature of the individual’s enquiry.
To liaise with all professionals to ensure the smooth running of the centre and to develop good working practices and relationships with teams in the building.
- Provide efficient, effective, and high standard reception and switchboard service to patients, staff, and visitors.
- Act as the first point of contact for the building and deal with queries from patients, families, carers, and other professionals involved in patient care.
- Provide professional and confidential coordination of the reception staff; support to the receptionists.
- Interpret and respond appropriately when a client is agitated to ensure safety without escalating the situation.
- Serve as initial point of contact (phone or face-to-face) for patients with mental health concerns, using tact and diplomacy to ascertain the nature of the enquiry.
- Liaise with professionals to ensure smooth running of the centre and develop good working practices and relationships with teams in the building.
- Attend meetings as required by the Admin Lead and keep the Admin Lead fully briefed on progress and delegated actions.
- Manage day-to-day provision of an efficient and effective reception service.
- Establish and maintain standards, and ensure these are audited and regularly reviewed.
- Coordinate rotas and manage sick leave, annual leave, and other absence for all administrative staff.
- Ensure that administrative processes are actioned (e.g., salary returns, sickness records, complaints, ordering of stock and non-stock items).
