Job Overview
A vacancy has arisen for an experienced Medical Secretary at the Birmingham Children’s Hospital in central Birmingham, to provide an effective and efficient administrative and secretarial service to the Eye Department.
Responsibilities- Provide secretarial support to the Eye Department, ensuring smooth clinical and non‑clinical operations.
- Organise patient episodes, admissions and investigations, ensuring compliance with NHS guidelines and Trust policies.
- Plan and follow up actions arising from patient episodes within agreed timescales.
- Ensure completed investigations are available to consultants and the healthcare team when required.
- Manage appointment scheduling, in‑basket, and test‑result tracking using the Electronic Patient Record (Epic).
- Maintain patient confidentiality, data protection and information governance compliance.
- Support virtual clinics, meetings and MDTs via Microsoft Teams or other Trust‑approved platforms.
- GCSEs (or equivalent) in English and Mathematics at Grade C/4 or above.
- RSA Level III/NVQ Level 3 in Business and Administration (or equivalent experience).
- AMSPAR or British Medical Secretary qualification, including medical terminology.
- Previous NHS experience, preferably in a healthcare setting.
- Proficient in Microsoft Office (Word, Outlook, Excel, Teams).
- Experience with an Electronic Patient Record (EPR) system such as Epic or willingness to undertake training.
- Knowledge of NHS policies such as the 18‑week RTT pathway and elective access standards.
- Experience managing confidential and sensitive information in line with data protection regulations.
- Excellent organisational and time‑management skills.
- Strong communication, both written and verbal, with a compassionate, patient‑centred approach.
- Ability to prioritise tasks, manage competing demands and act independently within clinical parameters.
- Attention to detail when reviewing clinical documents, test results and patient data.
- Calm and professional under pressure, adaptable to changing priorities.
- Ability to work independently and as part of a wider administrative and clinical team.
- Commitment to delivering high‑standard work with integrity, confidentiality and respect.
