Are you an experienced Receptionist or Administrator looking for a rewarding role within a specialist school setting?
We are currently recruiting for a Receptionist / Administrator to join a welcoming and supportive administration team at a highly regarded Ofsted-rated Good Special School in Birmingham. This is a full-time, long-term position with the opportunity to become permanent for the right candidate.
The school supports children and young people aged 3–19 with additional educational needs, including Autism Spectrum Disorder (ASD), and is committed to providing outstanding support and opportunities for all pupils.
The Role
As the first point of contact for pupils, parents, staff and visitors, you will play a key role in ensuring the smooth day-to-day running of the school office and reception area.
Starting your day at 8:00am, you may be required to work across any of the school's three sites, all of which are within walking distance of each other.
This is an extremely busy and varied role that requires excellent organisational, communication and administrative skills. The successful candidate will act as a vital liaison between students, parents, staff and external agencies, ensuring enquiries and information are handled efficiently and professionally.
A high level of tact, diplomacy and discretion is essential, as the role involves access to confidential and sensitive information. You will also need the ability to remain calm, professional and solutions-focused when dealing with challenging or urgent situations.
Key Responsibilities
* Providing a professional and welcoming reception service.
* Managing incoming calls, emails and enquiries.
* Signing in visitors and following safeguarding and visitor management procedures.
* Supporting pupils, parents, carers, staff and visitors throughout the school day.
* Maintaining accurate electronic and manual records.
* Producing reports, letters and other administrative documentation.
* Managing school communications and shared inboxes.
* Organising meetings, appointments, events and bookings.
* Handling incoming and outgoing post and deliveries.
* Providing general administrative support to school leaders and staff.
* Supporting the smooth running of school operations across multiple sites.
* Maintaining confidentiality in all aspects of the role.
The Ideal Candidate Will Have
* A minimum of one year's experience in a receptionist, administrator or school office role.
* GCSEs (or equivalent) in English and Maths.
* Strong IT skills and confidence using Microsoft Office applications.
* Excellent verbal and written communication skills.
* The ability to work independently and use initiative.
* Strong attention to detail and accurate record-keeping skills.
* The ability to prioritise work and meet deadlines in a fast-paced environment.
* A calm and professional approach when working under pressure.
* Excellent interpersonal skills and the ability to build positive relationships with students, parents and colleagues.
* A flexible and adaptable attitude, including the ability to work across different school sites when required.
* A commitment to promoting the school's values, ethos and inclusive culture.
