The RoleThe Parish Administrator plays a key role in supporting the day-to-day life and mission of St Giles’ Church, providing efficient and reliable administrative support to the Incumbent, Parochial Church Council (PCC) and wider church community. The role includes managing parish communications and records, assisting with correspondence, meetings and church administration, and helping to ensure the smooth running of parish activities. We are looking for someone who is organised, approachable and able to work both independently and collaboratively in support of the church’s ministry and mission.
Duties include:- Ensuring the weekly notice sheet is printed
- Ensuring church records are organised and inputting and extracting data from databases in line with GDPR
- Preparing and updating church registers
- Filing records with the County Records Office, the Local Council and Diocesan Office as required.
- Ensuring all DBS and training courses are up to date for PCC members and any others in the church where appropriate
- Liaise with the families for Funerals
- Developing and maintaining a directory of persons, local government and organisations in the parish
- Ensuring that all communication materials support the vision of the church
- Preparing agendas for PCC meetings as well as taking and later distributing the minutes.
- Monitor stock supplies and equipment in the Parish Office
- Keep the Church Diary, Log Book and church inventory up to date in conjunction with Churchwardens
- Ensure all licenses (performing rights, music, copyright etc) are up to date and paid for
- Represent the church in handling enquiries
- Support the work of the clergy, Churchwardens and PPC members
The Parish Administrator, from time to time will also carry out any reasonable duties at the request of the Parish Priest that are appropriate for the position. The PCC of St Giles, Rowley Regis is committed to safeguarding and promoting the welfare of children, young people and vulnerable adults. All postholders are expected to share this ethos. The postholder should also be committed to promoting a diverse and inclusive community where all can bring their own identity to their work with the church.
PersonSpecification
- Good interpersonal skills and the confidence to deal with all manner of enquiries
- Excellent administrative and organisational skills
- Good written and verbal communication skills.
- Good IT skills, including confidence using email, word processing and spreadsheets.
- Ability to work independently, use initiative and meet deadlines.
- Good attention to detail and accurate record keeping.
- Ability to work sympathetically within the Christian ethos and mission of St Giles’ Church.
- Experience of working or volunteering within a church, charity or community organisation.
- Familiarity with the structures and workings of the Church of England and a PCC.
- Experience of preparing agendas, taking minutes and supporting meetings.
- Basic understanding of data protection/GDPR and safeguarding procedures
