Main duties of the job- Greet patients and visitors warmly, providing friendly and professional assistance at all times
- Manage appointment scheduling, cancellations, and rescheduling with precision and efficiency
- Answer incoming phone calls promptly, directing inquiries to the appropriate staff or departments
- Maintain accurate patient records, update information, and ensure confidentiality at all times
- Handle administrative tasks such as filing, data entry, and processing correspondence
- Support the clinic team with basic administrative duties to streamline daily operations
- Ensure the reception area remains tidy, organised and welcoming for all visitors
- Proven office experience with strong administrative skills in a busy environment
- Previous experience working in a healthcare or medical reception setting is highly desirable
- Excellent communication skills, both verbal and written, with a friendly and professional demeanor
- Ability to multitask efficiently while maintaining attention to detail under pressure
- Proficiency in office software applications and appointment management systems
- Strong organisational skills with the ability to prioritise tasks effectively
- A positive attitude combined with reliability and a proactive approach to work
Busy, friendly GP Practice serving 10,800 patients living in Castle Vale and surrounding areas.
We have 5 Partners, salaried GPs, nurses, HCA's and nursing association as well as other attached clinical staff. The established admin team work closely with all members of team to provide a holistically supportive team environment.
Job responsibilitiesThe purpose of the role is to
Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team
Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies
Duties and responsibilitiesThe duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the senior receptionist/practice manager, dependent on current and evolving practice workload and staffing levels:
- Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
- Maintaining and monitoring the practice appointments system
- Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional
