This is a fast‑paced, rewarding role where you will support consultants and clinical teams with medical typing, patient coordination and Resident Doctor rota management, acting as a key point of contact for patients and families. You will help keep pathways moving by producing timely clinic letters and discharge summaries, managing appointments, supporting RTT timelines, and ensuring effective communication across multidisciplinary teams.

Mainduties of the job
As a Medical Secretary within HCOP, you will provide high‑quality administrative and secretarial support to consultants and multidisciplinary teams, playing a key role in ensuring safe, efficient and compassionate patient care.
Your day‑to‑day responsibilities will include:
- Audio and copy typing of clinic letters, discharge summaries, medical reports and correspondence, ensuring accuracy and turnaround times.
- Arranging appointments, managing consultant diaries and coordinating theatre or day‑case bookings, keeping patient information up‑to‑date across Trust IT systems.
- Acting as first point of contact for patients, relatives, carers, GPs and healthcare professionals, handling enquiries sensitively and professionally.
- Managing incoming calls, post and emails, escalating concerns appropriately and supporting effective communication across the clinical team.
A key part of the role involves supporting Resident Doctor rota coordination, including:
- Updating electronic rota systems, processing leave requests, maintaining accurate leave records and ensuring staffing levels.
- Assisting with basic reports and spreadsheets to support service delivery.
You will also help manage RTT pathways by ensuring timely communication of results, chasing outstanding investigations, updating tracking systems and escalating delays early to support performance targets.
Your role includes maintaining confidential records, scanning and uploading documentation, managing filing systems and ensuring information governance standards are upheld.

PersonSpecification Qualifications
- Good General Education (e.g. GCSE English and Maths A‑C) at GCSE Level 9‑4.
- Business Administration NVQ level 3 or equivalent clerical experience.
- ASMSPAR Certificate or equivalent knowledge of medical terminology.
- Experience providing Public/Customer service.
- Experience with Microsoft Office packages (Word, Excel, Outlook).
- Experience using IT systems.
- Experience working in a busy environment.
- Experience working in Healthcare.
