On Behalf of Arup, we are looking for a Junior Assistant Software Asset Manager / SAM Analyst for a 12 month contract based in either the Newcastle upon Tyne or the Birmingham office (hybrid, 3 days per week in the office). Purpose of the role:
The Junior Assistant Software Asset Manager will support the day-to-day operation and improvement of Arup's Software Asset Management function helping to maintain accurate software entitlement, agreement and usage data, and support licence compliance, renewals and software governance activity. The role will work closely with Digital Technology, Procurement, Finance, Service Management, Cyber/GRC, software service owners and vendors to help keep software information accurate, risks visible and actions moving.

What you'll do:
Support the management of software licences, contracts, subscriptions, renewals and entitlement records across the Software Asset Management function. Maintain and improve software asset data in SAM and related systems, including Snow Atlas / Snow, Service Now and associated working records used by the SAM team. Assist with validating licence entitlement, purchase history, agreements, maintenance records and proof of entitlement. Review usage, allocation and entitlement information to help identify compliance risks, shelfware, licence gaps and optimisation opportunities.

Support renewal activity by gathering usage, entitlement, cost, ownership and stakeholder information so renewals can be reviewed and justified. Help maintain application, licence and agreement records in support of software catalogue, request, ownership and governance processes. Assist with software request triage by checking ownership, licence availability, regional restrictions, existing agreements and the appropriate route to fulfilment. Work with vendors, resellers and internal teams to clarify licence terms, obtain quotes, validate support routes and confirm permitted usage where required.

Support reporting on compliance, liability, cost, usage, software ownership and data quality for SAM and wider Digital Technology stakeholders. Help identify and document process gaps, data issues and improvement opportunities linked to software governance and the Software Simplified programme. Escalate risks, exceptions, blockers and unresolved ownership or compliance issues to the SAM lead / manager. The skills you'll need:
Experience working with Software Asset Management, IT Asset Management, software licensing, procurement, service management or a related Digital Technology function (Minimum 1-3 years experience). Experience working with software, licence, agreement, vendor, usage or cost data in a structured and accurate way. Experience using SAM, ITSM, reporting or workflow tools, Snow Atlas / Snow, Service Now, Microsoft 365 or similar tools would be beneficial.

Awareness of software compliance, audit risk, licence restrictions and the importance of maintaining reliable entitlement and agreement records. Strong attention to detail and ability to challenge unclear data in a constructive way.

Good analytical skills, including the ability to compare usage, entitlement and contract information to identify issues or opportunities. Able to organise workload, manage follow-ups and keep records accurate and up to date.
