Role purpose

A Supply Chain & Export Administrator has the responsibility of despatching the products for a next day delivery warehouse, distribution centre, customers property or other locations. The role maintains the supply chain flow for stock levels and availability.

Security clearance or willingness to apply will be required for this role.

Key responsibilities
  • Meticulously verifying that all orders are correctly picked, packed, and labelled, and double‑checking them against packing lists to confirm their accuracy. Quality control is crucial, with items inspected for any damage or defects before packing.
  • Creating and attaching correct consignment number labels to packages, ensuring accuracy in shipping addresses and barcodes. Labels must be generated and attached promptly to keep the workflow smooth and efficient.
  • Maintaining a good operational process for each team member. Shipments match the delivery address on the work order as well as the label produced for each consignment. Regular checks on emails for change of delivery or location per customer or engineer. Loading items in a timely and organized manner while ensuring proper handling to prevent damage or injury. Maximizing space utilisation within the vehicle and distributing weight evenly to maintain balance and stability during transit.

    Keeping accurate records of loaded items facilitates inventory management and tracking.
  • Securely packaging items to prevent damage or breakage. Efficiency is key, as packaging materials should be used wisely to minimise waste and associated costs.
  • Create a courier based location where the products can be separated and loaded to pallets according on the courier being used. Designate a check on the pallets before being moved to make sure no consignments are contaminated on to the incorrect pallet.
  • Create manifests ensuring that all items are correctly documented for transportation. Compliance with regulations and requirements verification involves double‑checking the manifest against the actual items to confirm accuracy.
  • Ensuring that information provided is precise, reliable and consistent. It involves double‑checking data against reliable sources or standards to confirm correctness and paying attention to detail to avoid errors. Timeliness are also important, as information must be delivered promptly to maintain its relevance and usefulness. Quality control measures are essential to uphold accuracy standards.
  • End of day manifest is created for the Fedx / TNT courier. Pallets being moved are wrapped adequately and are in good condition with the consignment label applied in a safe and secure way.
Skills and experience
  • Proficient in using computers and Microsoft programmes – being able to use Work, Excel, Teams are a must for this role. Ability to learn new programmes.
  • Strong administration skills – a large proportion of this role will be associated with the administration of our sales‑order process, ensuring we pick and dispatch correct orders on time.
  • Excellent work ethics – we pride ourselves of working as one team, stepping in to help others.
  • Communication Skills – excellent verbal and written communication to interact with stakeholders and present data insights.
  • Attention to Detail – meticulous inventory audits and reconcile discrepancies with a keen eye for accuracy.
