The Project Support Specialist reports to the Water Development Division Director supporting various functions of the Division which includes Design and Construction Section, Technical Review and Response Section, Transboundary Watershed Management Section, Southwest Pipeline Project, and Northwest Area Water Supply.
Duties and Tasks- Project Research:
Provide research for the various sections depending on the needs of the Division. - Project Support:
Provide various project support assistance. Examples of support assistance include project correspondence, review of water system telemetry data, infrastructure maintenance data, application of permits, obtaining easements, etc. - Data Management:
Support managing various data/records for the division. Example data/records include telemetry data, water meter information, power billings, project records, survey records, easement records, water quality data, etc. - On call schedule and phone management:
Responsible for coordinating with team members to develop on call schedules, managing the on call phone with call tree adjustment, and making adjustments on the telemetry systems to reflect the on call schedule. - Accounting support:
Support Division staff with developing reimbursement requests. Examples include federal reimbursement requests, reimbursements based on agreements, reconciliation of purchase card statements, and developing and routing payment vouchers for invoices. - Asset Management:
Support maintenance of the assigned vehicle for the Division including oil changes, repairs, etc. Support division staff with compiling documentation for insuring properties. - Administrative Support:
Provide support with scheduling meetings, organizing meeting packets, and drafting and publishing meeting minutes. Provide backup support for other administrative staff in the agency. - Field support:
Provide occasional field work support as needed during summer months.
- An associate's degree in Office Administration or Business Administration, or a field closely related to the responsibilities of the position and two years of work experience performing a variety of complex office support.
Note:
DWR will consider substituting additional work experience for the education requirement on a year-for-year basis if the experience provides the knowledge and skills required to perform the duties of the position. - Excellent time management and organizational skills.
- Demonstrated experience in office support and customer service.
- Experience using Microsoft Office suite.
- Valid driver's license.
- Geographic Information System (GIS) experience.
- Data entry and data management experience.
- Accounting, grant management, or mathematics experience.
- Notary public.
