Job overview

The Emergency Department Medical Secretary / Personal Assistant provides comprehensive, confidential administrative and secretarial support to Emergency Department and Acute Medicine consultants and the wider medical team. The role is central to the effective functioning of the ED, supporting timely clinical correspondence, discharge documentation, investigation results management, complaints coordination, and governance activity. Acting as a key point of contact for patients, clinicians, and external stakeholders, the post ensures accurate information flow, supports patient safety through robust tracking of results and correspondence, and enables clinical and senior staff to focus on patient care, flow, and operational decision‑making within a fast‑paced emergency care environment.

Responsibilities

To provide comprehensive, confidential administrative and secretarial support to Emergency Department consultants and clinical teams, enabling safe patient care, effective patient flow, and timely governance, complaints, and clinical communications within a fast‑paced emergency care environment.

Person specification
  • GCSE English at grade 4 or above or equivalent level of skill.
  • RSA/OCR III Typewriting or RSA/OCR Audio Typewriting Stage III or RSA/OCR III Word Processing or ULCI typewriting Grade 4 or equivalent level of skill.
  • Ability to produce neat and accurate documentation.
  • Good organisational skills.
  • Knowledge of medical terminology (medical terminology certificate) or AMSPAR certificate or 12 months secretarial experience or 6 months secretarial experience.
  • Ability to understand, absorb and comply with detailed procedures.
  • Proven communication skills.
  • Ability to maintain composure in challenging, distressing, and emotional situations.
  • Ability to work as part of a team and be supportive to other team members.
  • Proven ability to keep information confidential.
  • Ability to adapt to changing needs of service.
  • Winscribe digital dictation system or similar.
  • Medical secretarial experience in a hospital setting.
Disclosure and Barring Scheme (DBS)

If the role you are applying for is identified as either controlled or regulated activity as defined in the Safeguarding Vulnerable Groups Act (2006), any offer of employment is provisional upon a satisfactory DBS check being obtained. The healthcare sector is exempted from the Rehabilitation of Offenders Act 1974. In line with other NHS organisations in the North West Region, the Trust is now passing the charge for undertaking a DBS check on to candidates in the event they are successfully appointed into the post for which they have applied.

Candidates can choose whether to pay this over 1-3 months as a deduction from the monthly salary. However, if you are applying for a post as a bank worker, the payment must be made in full at the time of employment checks. By applying for this vacancy, you are agreeing to this undertaking in the event you are successfully appointed.

The cost of an Enhanced Disclosure will be £55.38 and for a Standard Disclosure will be £27.38. This cost is not applicable for a volunteer post.
