Dublin Animal Hospital - Client Service Representative
Dublin, Virginia — AAHA-certified veterinary practice serving small animals, pocket pets, and exotics since 1948. Located less than 20 miles from Virginia–Maryland College of Veterinary Medicine. We offer preventive care, surgical procedures, digital x-ray, ultrasound, EKG, and boarding for medical or vacation purposes. We are looking for a full-time client service representative in our reception department.
Responsibilities- Greet clients entering DAH promptly and professionally.
- Dress professionally in clean attire; personal appearance clean, neat, and tasteful.
- Answer phones professionally and promptly.
- Process prescription and food requests in a timely and correct manner.
- Accurately schedule appointments, surgeries, and boarding reservations.
- Take initiative to ensure clients are cared for from the time they call DAH until they are ready to depart.
- Assist clients to their vehicles with pets and/or purchases when needed.
- Engage clients to establish a bond with clients and their pets.
- Oversee opening procedures per DAH protocol.
- Maintain the lobby during open hours; keep the area neat and the coffee bar stocked.
- Perform end-of-night duties per DAH protocol; ensure appointment charts are ready for the next day and waiting area is clean.
- Complete daily department checklists to a high standard for the appropriate shift.
- Enter new clients accurately in Cornerstone and obtain as much client and patient information as possible.
- Organize and update client information in Cornerstone’s Patient Record per DAH protocol.
- Receive and respond to or process incoming communications (email, faxes).
- Admit and discharge grooming and boarding appointments; obtain feeding and medication schedules during check-in.
- Discharge drop-off appointments and confirm clients have all necessary communications and medications prepared by the doctor.
- Check out clients accurately; verify invoices, present to clients, and process payments on account.
- Perform end-of-day closing procedures in Cornerstone and prepare daily settlement of cash, checks, and credit card transactions.
- Other duties as time permits per supervisor instruction.
- Customer & Personal Service – Knowledge of principles and processes for providing customer and personal services, including needs assessment and evaluating satisfaction.
- Clerical – Knowledge of administrative and clerical procedures and systems such as word processing and records management.
- English Language – Knowledge of English language structure, spelling, grammar.
- Active Listening – Focused attention to understand others, ask appropriate questions, and avoid interruptions.
- Speaking – Clear and professional communication.
- Time Management – Manage time and handle multiple tasks effectively.
- Service Orientation – Proactively help clients and patients.
- Writing & Typing – Document information accurately for medical records.
