Job Summary
To provide administrative support for the Logistics Department and ensuring all necessary documentation is completed correctly before products are sent for despatch. Has the ability to respond to the needs of the business and embrace change. Flexible in working hours to cover busy periods at month end.
Key Tasks and Accountabilities- Organising Transport for Export (EU & Rest of world) and arranging special transport & paperwork for various customers.
- Create shipping and invoicing documentation for all export shipments in line with corporate and legal compliance to also ensuring swift customs clearance.
- Produce ASN paperwork for the customer and upload onto the customer portals within documented timescale.
- Liaising with Planning and Production regularly to make sure orders meet the specified despatch dates, progress chasing when necessary.
- Accurate logging of shipments on Shipping Log ensuring that all of the data is entered, approving invoices required for payment, dealing with any queries and logging proof or delivery/export data.
- Raising of all purchase requisitions for local requirements.
- Responsible for ensuring that licensable products are shipped against the correct license, Permission to Ship is obtained; where required and accurate records are maintained.
- Liaise with the appointed customs broker to ensure all Exports are declared correctly.
- Obtaining proof of deliveries, exports and customs entry documents, updating the shipping log as required and ensure that documents are retained and scanned in line with the document retention policy.
- Any other adhoc duties as required

- Previous experience with invoicing (not essential)
- Experience with shipping and transport requirements (not essential)
- Export trade compliance and licensing trained (not essential)
- Must be flexible to work for training of other roles within the department to cover holiday, sickness etc.
- Minimum of Maths’ and English GCSE
