Athletic Operations Specialist – Inside Higher Ed
The Athletic Operations Specialist is responsible for overseeing the daily operational functions that support the university’s athletic programs. This role collaborates with coaches, administrators and external partners to coordinate resources, assist with development of policies and procedures, streamline operational processes and ensure that logistics run smoothly. The position serves as a liaison for the Director of Athletics and Senior Athletic Director, prepares annual and compliance reports, and maintains adherence to NCAA, conference and university regulations.
It is an on‑campus position: full‑time August–May (37.5 hrs/week) and part‑time June & July (20 hrs/week). Generous benefits include health, retirement, substantial time off and access to multiple tuition programs for employees and dependents.
- Athletic Operations Management:
Assist the AD with daily operations of the athletic department, collaborate with senior administration on operational policies and procedures, communicate with key parties regarding athletics operations and events, keep shared databases updated, coordinate meetings and agendas, supervise student‑worker time‑card reporting, and assist with staff onboarding. - Game Day and Event Operations:
Oversee communications with the President’s Office on game days, assist with alumni and donor events, attend key events (e.g., homecoming, family weekend), maintain the athletic department calendar, collaborate with communications and facilities, and support NCAA and conference events. - Budget Reporting:
Prepare annual reports, summarize department finances, gather data for university board meetings, maintain records of expenditures and contracts, monitor budgets related to operations, travel and facilities, and manage department orders with vendors. - Compliance Reporting:
Monitor compliance, compile and submit reports to the university, conference and NCAA, and communicate changes to coaches and staff.
- Bachelor’s degree required.
- Minimum of three years related office management experience.
- Preference for knowledge of athletic department operations, recruiting, fundraising, event coordination, fiscal management and conference/national governing bodies rules and regulations.
