A dynamic Real Estate Broker is seeking a dedicated Administrative Support professional to join their team. The position is full‑time, in‑person, and based in Bloomington, IN, with working hours from 8:30 am to 5:30 pm on weekdays. This role involves supporting both real‑estate brokerage and development activities. The ideal candidate will have a positive attitude, keen attention to detail, and a strong desire to learn and grow within the real‑estate industry.
Key Responsibilities:
- Provide comprehensive administrative support for the day‑to‑day operations of the real‑estate brokerage and development activities.
- Manage scheduling and calendar coordination for the Broker, including appointments, client meetings, and property viewings.
- Serve as the primary point of contact for client communications, both through phone and email, ensuring professionalism and a high standard of service.
- Assist with contract preparation, review, and management, ensuring all documentation is accurate, complete, and submitted in a timely manner.
- Coordinate and support the transaction process, from listing to closing, by maintaining organized files and tracking important deadlines.
- Handle the organization and maintenance of office systems, including filing, record‑keeping, and supply management.
- Assist with some marketing efforts, including drafting and sending out client communications and broadcasts, and managing property listings on relevant platforms.
- Ensure compliance with local real‑estate regulations and brokerage policies.
- Perform other office tasks and administrative duties as needed, prioritizing and multitasking effectively to meet deadlines.
Required Qualifications:
- Minimum of two years of experience in an office environment, demonstrating the ability to manage multiple tasks and deadlines efficiently. Relevant education may substitute for required experience.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and experience with internet‑based systems such as Google Calendar and project management tools.
- Strong organizational skills, attention to detail, and the ability to adapt quickly to changing priorities.
- Experience in marketing and social media management is a plus.
- Strong communication skills, both written and verbal, with a customer‑centric approach.
- Experience with contract management and familiarity with real‑estate‑specific documentation is referred to, but not required.
