OverviewFLEET SERVICES (BA-MOTR-IUBLA) works collaboratively with both the Fleet Services Garage and Campus Bus Garage 2 operational units within Indiana University Bloomington Campus Auxiliaries. Fleet Services is the full‑service, fleet management organization at Indiana University, providing rentals, leases, maintenance, fueling, and micro‑transit van services for IU Bloomington, and offering fleet program assistance for the IU regional campuses. The IU Campus Bus Service has been operating a 6‑route system for over 3 million rides a year with approximately 30 buses, 50 bus operators, and 4 mechanics.
Responsibilities- Oversee processes and projects related to transportation maintenance operations and manage the activities of a multi‑craft fleet garage maintenance group.
- Plan and schedule vehicle maintenance, ensure compliance with safety training, manage parts inventory, and oversee inspections and repairs to maintain operational efficiency and reliability.
- Provide maintenance operations oversight and support for teams within the department, ensuring best practices are followed and performance standards are met.
- Serve as the primary contact for reporting and addressing maintenance or operational issues, promoting effective communication and timely resolution.
- Manage garage work process flow using RTA Fleet
360, RTA Inspect, and RTA Paperless Shop. - Recommend tools, software, and processes to optimize operations in fleet maintenance facilities.
- Serve as liaison between internal customers and technicians.
- Schedule service with customers and initiate work orders for mechanics, ensuring parts are billed appropriately.
- Communicate with internal and external customers to ensure repairs are completed and concerns are addressed.
- Manage parts inventory ordering, recording, and cycle counts; coordinate inventory through multiple vendors while ensuring compliance with university purchasing policies.
- Ensure internal processes comply with policy and procedure for multiple OEM suppliers warranty claims processes and submit warranty claims for reimbursement.
- Monitor reimbursement status and resolve issues as needed; make procedural recommendations to maximize warranty reimbursement.
- Optimize inventory availability for maintenance operations, reducing downtime and controlling costs.
- Assist in determining inventory stock levels and provide recommendations on the inventory levels annually or as needed.
- Conduct periodic inventories and annual year‑end inventory counts.
- Research spare parts and supply availability by part number, stock number, manufacturer, substitute item, higher assembly, fabrication, or other available resources to provide economic and timely support.
- Package and ship assemblies for return, repair, or re‑build; perform property disposal functions as necessary.
- Pick up and/or deliver parts as required.
- Coordinate and manage transportation maintenance operations, including vehicle maintenance planning, safety training, parts‑inventory management, inspections, and repairs. Coordinate fulfillment of work orders for corrective action, routine preventive maintenance, and warranty repair.
- Prepare warranty claim reimbursement and ensure OEM policy and procedure are followed with an emphasis on optimizing warranty reimbursement.
- Maintain appropriate stock levels through cost‑effective inventory control; maintain manual and automated processes to accurately maintain vehicle maintenance and inventory database systems; prepare, distribute, and maintain material documents.
- Monitor and maintain part inventory and diagnostic/repary tool levels and conditions through regular inspections and completion of required documentation; order supplies/equipment when necessary.
- Conform to all university, local, state, and federal laws, rules, and regulations applicable to fleet and public transportation operations.
