Base pay range$16.00/hr - $28.00/hr
Responsibilities- The Service Coordinator assists the Service Manager and/or Service Supervisor and the branch staff in performing assigned administrative duties, including but not limited to making initial customer contact, scheduling technicians, managing vendor and sub-contractor relationships, ordering job site materials, stocking materials in warehouse, producing and processing invoices, receiving customer calls, assisting in solving customer complaints, producing reports, and making travel arrangements.
- Work with dispatch to schedule Service Technicians for service requests and fire inspections.
- Work with customers to schedule service tickets, answer questions, and provide status updates.
- Approve technician equipment orders on service tickets and ensure purchase orders are issued.
- Communicate daily with Service Technicians, providing assistance while on the job site or while in transit.
- Manage relationships with vendors and sub-contractors to ensure schedule deadlines, project accuracy and project budgets are met.
- Order job site materials and control inflow from vendors, including creating purchase orders using the SAP system.
- Maintain accurate inventory and accountability for products in the warehouse.
- Receive materials from vendors, break down cartons, and place on appropriate job shelves in the warehouse.
- Apply appropriate receipts to jobs and file paperwork accurately to job files using our system of record, Astea.
- Provide progress reports on the status of service jobs to the Service Manager.
- Work with appropriate personnel to provide information to POs and process invoices timely and accurately.
- Communicate with appropriate departments regarding customer complaints that could develop into product issues, billing concerns, or major product failures.
- Gather, summarize and prepare data for key statistical reports.
- Place and receive telephone calls and manage inquiries from customers, employees, and vendors.
- Assist in solving problems or directing inquiries to the proper individual or department.
- Maintain correspondence files and other related records; may open, sort and distribute mail for the assigned area.
- Develop written replies to routine correspondence or questions and assist in producing presentations and reviewing materials.
- High School Diploma or Equivalent.
- 3+ years customer service experience within a construction or service-related industry.
- Previous customer service supervisory level experience preferred.
- Excellent time management, planning and organization skills.
- Excellent detail and follow-up skills.
- Ability to multi-task within a fast-paced environment and work in a deadline-driven environment.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office programs:
Word, Excel, PowerPoint and Outlook. - Working knowledge of SAP, SBN, SAM or ERP systems preferred.
- A valid state driver’s license, without restrictions, is required for this position.
