Accounts Payable Specialist

Description

We are looking for an Accounts Payable Specialist to join a manufacturing organization in Boca Raton, Florida on a contract-to-permanent basis. This position is suited for a finance specialist who can manage payables and support receivables activities with precision, sound judgment, and strong organizational skills. The ideal candidate brings advanced Excel capabilities, experience with ERP platforms such as Microsoft Dynamics or Navision, and the ability to keep pace with a busy accounting environment while maintaining accuracy.

Responsibilities:

- Process vendor invoices, assign appropriate account codes, and prepare payments through ACH, check runs, wire transfers, and other approved methods.

- Maintain accurate accounts payable records by reviewing transaction details, verifying supporting documentation, and resolving discrepancies before payment is released.

- Support accounts receivable functions by assisting with customer invoicing, monitoring collections activity, and helping reconcile incoming payments.

- Reconcile AP and AR balances on a regular basis, investigate variances, and work with internal and external contacts to bring accounts into alignment.

- Manage vendor and customer payment workflows, ensuring transactions are completed on time and in accordance with company procedures.

- Use advanced Excel tools such as pivot tables and lookup formulas to analyze financial data, track payment activity, and prepare reporting for the accounting team.

- Communicate with vendors, customers, and internal stakeholders to address payment questions, clarify account issues, and maintain strong working relationships.

- Prioritize multiple accounting tasks in a fast-moving environment while consistently meeting deadlines and maintaining a high level of detail.

- Assist with ERP-related accounting processes and contribute to smooth execution of system-based financial transactions and recordkeeping.

Requirements - Hands-on experience in accounts payable, including invoice processing, account coding, and payment execution.

- Working knowledge of accounts receivable activities such as invoicing, collections support, and account reconciliation.

- Strong Excel proficiency with the ability to use pivot tables and VLOOKUP or similar lookup functions effectively.

- Familiarity with ERP systems, with preference for experience using Microsoft Dynamics or Microsoft Navision.

- Understanding of payment methods and workflows, including ACH, check runs, wire transfers, and vendor payment processing.

- High level of accuracy, organization, and attention to detail in handling financial transactions.

- Strong analytical, communication, and interpersonal skills for resolving issues and collaborating across teams.

- Ability to adapt quickly, manage competing priorities, and perform effectively in a fast-paced setting.
