Key Responsibilities- Own the work-order life cycle: receive inbound maintenance requests, dispatch the right vendor, set expectations, and keep everyone updated until completion.
- Source and onboard vendors for repairs and special projects, confirming credentials and insurance before assignment.
- Track open work orders daily, proactively following up with technicians and customers to hit service-level targets.
- Jump into the after-hours rotation (about one week per month) to triage emergency calls and coordinate immediate response.
- Maintain airtight documentation-quotes, photos, invoices, and close-out notes-to support flawless client reporting.
- Pitch in where needed in a true “wear-many-hats” environment; if you see something that needs doing, run with it.
- 1-3 years in facilities coordination, dispatch, property management, or a high-volume call-center role.
- Working knowledge of customer-service best practices and Microsoft Outlook, Excel, and Word; experience with a CMMS or similar platform is a plus.
- Clear, confident verbal and written communication that keeps clients and vendors on the same page.
- Eagle-eye attention to detail and sound judgment when juggling multiple priorities.
- High-school diploma or GED required; vocational or college coursework in business, construction, or facilities is welcomed.
