Planning & Engagement Program Associate
The Jewish Federation of South Palm Beach County is seeking a highly organized, proactive Planning & Engagement Program Associate to strengthen the operational backbone of our planning, allocation, mission, and community engagement efforts. This role ensures that complex logistics, partner relationships, and departmental processes run with clarity, accuracy, and care.
OverviewThe Planning & Engagement Program Associate plays a vital role in helping the Federation carry out its planning and community‑building work. This includes supporting task forces that drive resource allocation, coordinating international partner relationships, organizing missions that connect community members to Israel, and assisting with local engagement programs. Working closely with Planning & Program Services staff, lay leaders, beneficiary agencies, and internal partners, this role ensures that key initiatives are executed smoothly, from meeting logistics to partner coordination to program administration.
Key ResponsibilitiesPlanning & Task Force Support – Local Planning
- Coordinate logistics for Safety Net and Jewish Life & Learning Task Forces, including room reservations, event needs, meeting materials, and on‑site administrative support.
Israel & Overseas Planning
- Organize all logistics for the Israel & Overseas Task Force: RSVPs, scheduling, calendaring, room reservations, event needs, and preparation of meeting materials.
- Support the full lifecycle of program proposals from RFP issuance through presentation, approval, and implementation for major partners including JAFI, JDC, World ORT, ENP, and 20+ additional NGOs across Israel and Poland.
- Learn the work of each beneficiary agency and begin building professional relationships with partner staff.
Mission Support
- Assist with mission logistics, including collection of participant information, payment processing coordination, meeting materials preparation, and related administrative tasks.
Community Engagement Support
- Provide logistical and administrative support for community engagement programs, including scheduling, material preparation, and event coordination.
Administrative Coordination
- Offer additional administrative support as needed across the Planning and Program Services departments.
- 2–3 years of experience in a related field.
- Strong organizational skills with a keen attention to detail and the ability to manage multiple priorities.
- Excellent interpersonal skills and a professional, collaborative approach.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Familiarity with Google Workspace (Google Docs, Sheets, Forms).
- Ability to build and maintain strong working relationships with internal teams and external partners.
- Commitment to maintain confidentiality and exercising sound judgment.
- Comfort working in or openness to Jewish communal environments.
- Availability for occasional meetings or programs on weekday evenings or Sundays.
