This is a full‑time on‑site role located in our Boca Raton, FL office. We’re looking for a highly organized, client‑focused professional to join our operations team. As a Client Services Specialist, you’ll serve as the vital link between our aviation advisors, clients and flight partners, ensuring every trip is executed flawlessly. You’ll manage itineraries, coordinate with pilots and vendors, and provide the white‑glove service our clients expect.
The role will be responsible for day‑to‑day operations management, a variety of administrative tasks, analytical tasks, flight following and management, assisting with flight services (catering, ground transportation, etc.) and maintaining effective communication with clients and internal teams.
- Strong operational and analytical skills.
- Manage client flight requests from initial inquiry to post‑flight follow‑up.
- Coordinate with operators, pilots, and ground transportation and catering providers.
- Monitor flight schedules, weather, and operational changes in real time.
- Ensure all safety and compliance standards are met.
- Provide proactive communication to clients before, during, and after trips.
- Critical thinking skills, sense of urgency, reliable and adaptable in a fast paced environment.
- Proven experience as an administrative assistant, office assistant, or in another relevant administrative role.
- 3+ years of experience in private aviation, corporate travel, luxury hospitality, or similar client‑facing operations.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.
- Ability to thrive in a fast‑paced, time‑sensitive environment.
- Proficiency with scheduling systems and CRM software such as Hub Spot.
- Detail‑oriented, solutions‑driven, and calm under pressure.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Support of billing, invoicing, and trip reporting processes with our accounting department.
- Attention to detail and problem‑solving skills.
- Ability to work independently and as part of a team.
