  • Oversee day-to-day office operations to maintain a professional, organized, efficient, and welcoming workplace.
  • Serve as the primary point of contact for office-related requests, questions, and concerns from employees.
  • Coordinate company and office events, including meetings, celebrations, team gatherings, and other employee engagement activities.
  • Manage daily and special-event lunch ordering, including coordinating menus, dietary restrictions, delivery, setup, and cleanup.
  • Serve as the primary liaison with building management and building staff regarding facilities, maintenance, security, access, and other building-related matters.
  • Field and coordinate resolution of facilities issues, including plumbing, temperature, HVAC, lighting, noise, maintenance, and other workplace concerns.
  • Coordinate with external vendors and service providers, including catering, cleaning, maintenance, office equipment, furniture, and other workplace services.
  • Manage vendor relationships, schedule services, obtain quotes, and review office management invoices as appropriate.
  • Assist with office space planning and seating arrangements, including coordinating workstations for new hires, internal moves, team changes, and office expansions.
  • Partner with HR and IT to prepare work spaces for new employees and coordinate office-related aspects of onboarding and offboarding.
  • Maintain office supplies and other workplace inventory; monitor stock levels and place orders as needed.
  • Provide oversight and support for the front desk staff (reception)
  • Manage office access, including employee badges, visitor access, and parking arrangements, in coordination with building security and the firm’s IT department, as applicable.
  • Coordinate office repairs, furniture installation, equipment servicing, and other facilities projects.
  • Support workplace health and safety efforts, including maintaining emergency supplies, communicating building procedures, and coordinating with building management on emergency preparedness.
  • Assist with office-related budgets, expenses, invoices, and purchasing and identify opportunities to improve efficiency or manage costs.
  • Develop and maintain office procedures, vendor information, building contacts, and other workplace documentation.
  • Communicate office updates, building notices, maintenance schedules, closures, and other relevant information to employees.
  • Proactively identify workplace needs and recommend improvements to office operations, employee experience, and use of space.
  • Provide general administrative and operational support and assist with special projects as needed.
