OverviewThe Billing Coordinator is responsible for managing and processing patient refunds in a timely and accurate manner. This role ensures that all refund requests are thoroughly reviewed for account accuracy and routed through any required clinical or administrative review processes. The coordinator will work closely with the office teams to request additional information or clarification when needed and will maintain a tracking system to provide visibility into the status of all refund requests.
This position is based in our Support Center in Boca Raton.
- Review and validate patient account details prior to processing refunds.
- Ensure all refund requests are complete and routed for clinical review when necessary.
- Ensure any waivers of liability are signed by the patient prior to processing refund.
- Communicate with office teams to request clarification and additional documentation as needed.
- Communicate with RCM collectors on the status of outstanding claims when a refund request amount includes estimated insurance payment.
- Collaborate with clinical and RCM leadership to resolve any discrepancies or delays.
- Accurately process and post approved refunds to patient accounts within the practice management system, ensuring refund adjustments are accurately allocated to appropriate providers.
- Ensure compliance with internal policies and payer guidelines related to refunds.
- Provide timely updates to offices and leadership regarding refund status and resolution timelines.
- All other duties and responsibilities as assigned.
- 2+ years of experience in dental or medical billing with a focus on patient account management and refunds.
- Strong understanding of RCM processes, including payment posting and clinical workflows.
- Excellent attention to detail and organizational skills.
- Effective written and verbal communication and time management skills.
- Strong computer skills including Microsoft Word, Outlook and Excel.
- Ability to work independently and prioritize multiple tasks in a fast‑paced environment.
