We are seeking a highly organised and detail‑focused EHCP Administrator to support our Special Educational Needs (SEN) school. In this vital role, you will coordinate the Annual Review process for Education, Health and Care Plans (EHCPs), ensuring all documentation is accurate, timely, and compliant with statutory requirements. You will work closely with families, staff, and external professionals to help ensure every pupil receives the support they need to thrive.

  • Support, monitor EHCPs for pupils throughout the school to agreed annual targets and meet all statutory and legal requirements.
  • liaise closely with parents, carers and other professionals and develop effective partnerships in the interests of the pupil.
  • plan, coordinate and administer Annual Reviews, Transition Reviews and any in‑year reviews and plan adjustments to reflect changes in child's needs or circumstances.
  • take minutes of EHCP/AR meetings and produce reports and statistics for the Headteacher.
  • act as first point of contact in relation to EHCPs, establish and maintain positive relationships with parents, carers and other partner services.
  • attend all review meetings and update review documents appropriately.
  • generate all Annual Review and School Report documentation in appropriate formats.
  • working in liaison with the Local Authority SEN Assessment Team and Placement Team, ensuring that deadlines are met.
  • plan and develop the School Report timetable/deadline schedule, monitor and action completion of tutor comments, proofread and distribute within strict deadlines.
  • deal with issues relating to appeals and enquiries from parents.
  • coordinate data effectively using SIMS as required.
  • update the relevant colleagues and the school’s computerised systems with all necessary data for the Annual Review Process, including maintaining information relating to pupil records.
  • maintain paper based filing systems and other general admin duties such as photocopying and archiving in relation to EHCPs.
  • provide reception cover and general admin support if required.
General – applicable to all Trust roles
  • ensure that pupil’s needs are prioritised and to have a clear sight of how this role impacts on the academy’s and the Trust’s pupils at all times.
  • act as a Trust team member and provide support and cover for other staff where needs arise, inclusive of occasional work at other sites within a reasonable travel distance.
  • adhere to Trust values and behaviours.
  • be aware of and adhere to all Trust policies and procedures.
  • be responsible for your own continuing self-development and attend meetings as appropriate.
  • undertake other duties appropriate to the post as required.
