The Environmental, Health and Safety Admin provides administrative, organizational, and coordination support to the Safety and Environmental teams. This position plays a critical role in maintaining compliance records, managing documentation, coordinating training and meetings, tracking department activities, and ensuring accurate and timely reporting. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining confidentiality and supporting regulatory compliance efforts.
This position can be based out of our Boise or Donnelly offices.
Essential Duties and Responsibilities:
Administrative Support
- Provide administrative support to Safety and Environmental Management and staff.
- Manage calendars, schedule meetings, and coordinate department activities.
- Prepare correspondence, reports, presentations, and meeting materials.
- Maintain department filing systems, both electronic and physical.
- Order office supplies and coordinate equipment and resource needs.
- Process invoices, purchase requisitions, expense reports, and other administrative transactions.
- Maintain safety records, training documentation, certifications, and compliance files.
- Assist with onboarding documentation and safety orientation scheduling.
- Track employee training requirements and notify supervisors of upcoming expirations.
- Support incident and near-miss reporting processes by organizing documentation and distributing reports.
- Compile safety metrics, statistics, and monthly reports.
- Coordinate safety meetings, toolbox talks, and training sessions.
- Maintain environmental permit records, monitoring reports, and compliance documentation.
- Assist with tracking environmental inspections, audits, and regulatory reporting deadlines.
- Support data entry and recordkeeping associated with air, water, waste, SWPPP, SCPP, and reclamation programs.
- Compile environmental data and assist in preparing regulatory reports and documentation.
- Coordinate environmental meetings and communication activities.
- Ensure records are maintained in accordance with company policies and regulatory requirements.
- Maintain confidentiality of sensitive employee and operational information.
- Assist with document control processes, revisions, and distribution.
- Support preparation for internal audits, inspections, and regulatory reviews.
- Serve as a point of contact for internal and external stakeholders.
- Coordinate travel arrangements, meeting logistics, and department events.
- Work collaboratively with operations, human resources, contractors, and project teams.
- Support special projects and other duties as assigned.
Knowledge, Skills, and Abilities
- Strong attention to detail with exceptional accuracy in recordkeeping and data entry.
- Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.
- Strong customer service and interpersonal skills.
- Ability to work independently while supporting multiple departments.
- Proficiency in preparing reports, spreadsheets, presentations, and professional correspondence.
- Ability to maintain organized and auditable records.
- Strong problem-solving, coordination, and follow-through skills.
- Ability to adapt to changing priorities and departmental needs.
- High school diploma or GED required.
- Associate degree in Business Administration, Office Administration, or related field preferred.
- Minimum of 3 years of administrative support experience.
- Experience supporting safety, environmental, construction, mining, industrial, or operations teams preferred.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
- Strong organizational, document management, and recordkeeping skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Experience working in mining, construction, manufacturing, energy, or heavy industrial environments.
- Knowledge of safety and environmental compliance documentation and reporting requirements.
- Experience with document management systems and electronic filing platforms.
- Familiarity with training management systems and compliance tracking tools.
- Experience supporting regulatory audits, inspections, or compliance programs.
