Project Support Responsibilities Your Responsibilities as a Project Support Specialist/Office Administrator:- Take initiative in leading project coordination and project support tasks.
- Prepare and support project-related administrative tasks.
- Assemble and produce project documents (electronic and hard copies).
- Sample management - data entry including database management.
- Assist in tracking project timelines and deliverables to help ensure on-time completion.
- Maintain accurate records, files, and project data in internal systems and shared platforms.
- Familiarity with contracts to review for accuracy, consistency, and formatting.
- Review project invoices for accuracy and completeness.
- Create cover sheets for invoices and submit invoices to clients electronically.
- Analyze project budgets and follow up with staff to address questions, variances, or needed updates.
- Have a professional, enthusiastic, organized, and communicative presence with office visitors and staff.
- Maintain cleanliness in shared office spaces and coordinate office maintenance promptly with office manager.
- Organize, plan, and lead office events to promote comradery and coordinate with other offices for company events.
- Support communication to help coordinate activities, equipment, and resources across departments.
- Identify opportunities to improve administrative processes and project documentation workflows.
- Read and prioritize office manager emails to support timely follow-up and coordination.
- Plan and set up company participation at conferences and career fairs to support company growth.
- Bachelor's Degree preferred and 4+ years of relevant experience.
- Experience performing GL accounting and financial reporting
- Highly organized and strong attention to detail-Independent thinker/self-motivated
- High degree of professionalism.
- Excellent written and verbal communication skills
- Proficient with MS Office/Excel (PowerPoint is a plus)
- Familiarity with one or more accounting operating systems. Deltek Vision experience is highly desired.
