Position: TPWD - Administrative Assistant V (Office Manager)

Responsibilities
  • Administrative Support: In consultation with the Human Resources Division and Site/Regional leadership; prepares, edits, and distributes correspondence, reports, forms, and documents. Responds to inquiries, explains and disseminates information concerning agency or divisional programs, procedures, regulations or policies. Conducts administrative reviews of reports, documents, or summaries to ensure completeness. Performs administrative edits to data in charts, graphs, and databases. Operates electronic mail systems and coordinates the flow of information internal and external to the agency.

    May perform travel arrangements for management. Plans, coordinates and facilitates meeting locations and preparation of presentations as required.
  • Purchasing, Accounting and Budgeting: Assists with budget data, monitors budget tracking, reviews expenditure history, analyzes trends, and assists with forecasting. Maintains revenue tracking and reporting, reviews purchase request documents for accuracy, enters data related to purchase orders and procurement card transactions, and collects revenue in accordance with fiscal policies.
  • Supervisory Duties and Personnel Management: May supervise others, oversee performance reviews, onboarding, offboarding, personnel actions and time entry. Coordinates job postings and screening, answers policy questions on promotions and other personnel actions, tracks timesheets and leave reports, assists with interviews, and coordinates system access and equipment/uniform assignments.

    Performs additional duties as assigned and complies with agency rules and procedures.
  • Minimum Qualifications
    • Education: Graduation from High School or GED.
    • Experience: Three years of experience in administrative support work; experience maintaining filing systems with documentation; experience editing data in charts, spreadsheets, graphs and databases; experience preparing summaries or reports; experience guiding or supervising others.
    • Licensure: Valid State driver's license.
    Substitutions
    • Substitution: Thirty-semester credit hours from an accredited college or university with coursework in management, business administration or related field may substitute for one year of the required experience, up to a maximum of two years.
    Preferred Qualifications
    • Four years of experience in administrative support work.
    • Experience in customer service.
    • One year of supervisory or team lead experience.
    • Experience in cash management, accounting, auditing or revenue reporting concepts.
    • Experience in expenditure tracking, budget management or reconciliation.
    Knowledge, Skills, and Abilities
    • Knowledge of office practices and administrative procedures.
    • Knowledge of purchasing, procurement methods or procedures.
    • Knowledge of State of Texas Purchasing rules.
    • Skill in use of standard office equipment and software;
      Microsoft Office Suite and virtual meeting platforms; training others; budget management and forecasting.
    • Ability to communicate effectively; handle difficult situations; evaluate administrative systems; and accurately handle cash and revenue.
    Working Conditions
    • Work 8 hours per day, 5 days per week; overtime, holidays, weekends may be required with approval.
    • May operate a state vehicle; travel up to 5% with possible overnight stays.
    • Follow dress and grooming standards and safety procedures; adhere to non-smoking policy in state buildings and vehicles.
