Job overviewA Medical Secretary will support the day‑to‑day administration of the Vascular team. The role requires strong medical terminology knowledge, excellent keying, typing, interpersonal and multitasking skills. You will be expected to organise workload, meet deadlines and provide high quality support to doctors, patients and external organisations.
Main duties- Maintain consultants’ diaries, arrange meetings, travel and appointments.
- Act as first point of contact for patients, GP’s, external organisations and members of the general public, triaging calls and providing support.
- Answer telephone queries and give non‑clinical advice about patient care and admissions.
- Communicate with patients and parents about personal and sensitive information.
- Type urgent and non‑urgent correspondence, including transcription of dictation.
- Take and transcribe minutes of meetings and follow up on action points.
- Access Care Flow to retrieve patient details, update records and register patients.
- Maintain and update specialty‑specific databases and retrieve radiology and pathology results.
- Take action on patients who fail to attend and ensure relevant information is dispatched to GP’s and other staff.
- Prioritise own workload in line with competing medical and patient demands.
- Co‑ordinate investigation results and arrange follow‑up appointments.
- Assist with new technology and support the introduction of new systems.
- Support the complaints process and resolve informal complaints.
- Handle cash and cheques in accordance with the Trusts financial instructions.
- Provide secretarial support for teaching and meetings, including preparing PowerPoint presentations.
- Maintain a database of clinical activity for audit purposes.
- Provide guidance to support medical secretaries and clerical officers, allocate workload, and supervise where appropriate.
- Maintain control of supplies and provide cross‑cover during absences.
- NVQ Level 3 or equivalent in an administrative discipline.
- RSA II/III typing or word‑processing qualification, or equivalent experience.
- European Computer Driving Licence (ECDL).
- Diploma from the British Society of Medical Secretaries, Advanced AMSPAR Diploma or equivalent experience.
- Previous secretarial experience.
- Previous medical secretary experience.
- Knowledge of medical terminology.
- Demonstrable problem‑solving skills.
- Previous NHS experience preferred.
- High‑accuracy audio and touch typing.
- Excellent interpersonal skills.
- Strong organisational and time‑management skills.
- Ability to work independently and use own initiative.
- Working well under pressure and prioritising workload.
- Strong concentration despite frequent interruptions.
- Proficiency with Microsoft Office.
