Join an Outstanding Team

At Hugh Baird College, an Ofsted Outstanding provider, we are committed to inspiring, challenging, and transforming lives. Our students are at the heart of everything we do, and we foster a workplace where ideas are valued, creativity is nurtured, and professional growth is supported.

About the Role

We are seeking a Senior Executive Assistant to provide high-level, proactive and confidential support to the Principal & CEO and Deputy Principal & Deputy CEO. This is an important role within the College, supporting senior leadership across a range of strategic, operational and external activities.

You will manage complex diaries and priorities, coordinate executive meetings and events, prepare reports, briefings and presentations and act as a trusted point of contact for senior stakeholders both internally and externally. The role provides the opportunity to work closely with College leaders, governors, partners and key stakeholders and contribute to the successful delivery of the College's strategic objectives.

This is a good opportunity for an experienced Executive Assistant or senior administrator who is comfortable working in a busy environment, uses sound judgement and discretion and takes pride in providing a professional support service.

Key Responsibilities
  • Provide high-level executive support to the Principal & CEO and Deputy Principal & Deputy CEO, ensuring priorities are effectively managed.
  • Manage complex diaries, meetings, events and travel arrangements, ensuring executives are fully prepared and briefed.
  • Act as a trusted first point of contact, managing correspondence, enquiries and stakeholder communications with professionalism and discretion.
  • Coordinate senior-level meetings, including agendas, papers, minutes and action tracking.
  • Prepare high-quality reports, presentations, briefings and correspondence to support strategic decision-making.
  • Build and maintain strong relationships with governors, senior leaders and external stakeholders.
  • Maintain strict confidentiality while supporting key projects, events and College-wide initiatives.
Criteria
  • Significant experience providing high-level Executive Assistant, PA or senior administrative support within a complex organisation.
  • Excellent organisational and prioritisation skills, with the ability to manage multiple deadlines and competing priorities in a fast-paced environment.
  • Proven experience supporting senior leaders and managing complex diaries, meetings and stakeholder relationships.
  • The ability to anticipate requirements, use initiative, solve problems and work independently with minimal supervision.
  • Exceptional communication skills and the ability to build effective relationships with internal and external stakeholders at all levels.
  • Advanced Microsoft 365 skills, alongside the discretion, integrity and judgement required to handle highly confidential information.
  • A flexible and adaptable approach, including the ability to support occasional early morning or evening meetings and travel between College sites and external events when required.
