Main responsibilities will include - Booking appointments for patients onto our clinical system, managing waiting room activities and interactions, ensuring requests for repeat prescriptions are managed, greeting patient and providing non clinical help and support, working closely with other members of extended healthcare team, contacting patients to improve the service given and ensure timely responses to appointments, immunisations etc, attending practice meetings, keeping up with mandatory training, b open, hones and trustworthy, reliable, flexible, tolerant of all people without discrimination.
About usWe are a hard working, busy, 5 part time partner practice with over 7500 patients, we employ 2 x part time salaried gp's, 1 ANP, 2 part time practice nurses, and 1 HCA. At present we have 8 part time receptionists and 2 admin/secretarial staff a deputy practice manager and a Practice Manager. The clinical system that we use is EMIS Web.

Job responsibilitiesResponsibilitiesincluding most of the following but not limited by the list
Managing appointment templates for clinicians and admin staff
Ensuring the primary objective of providing excellent levels of patient service
Managing waiting room activities and interactions
Ensuring requests for repeat prescriptions are managed appropriately, ensuring that scripts arebeing signed and that requests are being managed as expediently as possible.
Greeting patient sand providing non-clinical patient help and support:
Dealing with all patient enquiries in the reception area and on the telephone including makingnew and follow-up appointments on the appointments system.
Ensuring the effective and efficient registering of new patients
Ensuring the practice including the waiting room and reception area is kept tidy
Ensuring timelyand accurately handling of messages and ensuring unresolved or urgent mattersare prioritised
Ensuring efficient and effective opening and closing of the premises and that the phonesare manned in the morning-afternoon and evening.
Working closely with other members of extended healthcare team and offering support when needed.
Contactingpatients to improve the service given and ensure timely responses toappointments, immunisations etc.
Liaising with hospital and booking patient appointments.
Attendingpractice meetings and training courses as required. Participating in educations and learningactivities arranged from time to time.
Keeping up with mandatory training
Supportingpractice policies and protocols including health and safety and infection control.
Delegation oftasks to the most appropriate professional.

Be able to communicate sensitively, clearly, and effectively; both on the phone and faceto face with the ability to remain calm supportive and courteous at all times.

Understand theconfidential nature of the work and be prepared to follow the requirements ofthe practice confidentiality and data protection policies at all times
Be reliable, well organised, able to follow work plans and protocols whilst being flexible and agood timekeeper.
